Overview
Executive Assistant to Vice President. This role supports the VP through preparation of materials, calendar management, expense processing, event coordination, and project-related support.
What You’ll Be Doing- Prepares, composes, and initiates presentation materials, reports, and correspondence.
- Manages executive calendars and arranges appointments, meetings, travel itineraries and related arrangements.
- Processes purchase orders/invoices through internal Oracle procurement system and monitors for completeness.
- Manages receipts for events, travel, etc. and creates accurate and timely expense reports.
- Organizes and coordinates in-person and virtual meeting arrangements: gathers topics and materials, creates agendas, and manages associated technology and related needs, including catering and Teams broadcasts.
- Supports project-related needs, including meeting minutes/action items and follows up as needed.
- Orders office supplies and maintains appropriate records, files, and documentation.
- At least 5 years’ experience as an Executive Assistant in a fast-paced environment
- Subject matter expert with Microsoft Office (PowerPoint, Word, Excel, Outlook, Teams) and other office technology
- Ability to learn, apply, and navigate through internal systems, technologies, processes and policies with speed and accuracy
- Excellent verbal and written communication skills, interpersonal skills, and customer service mentality
- Strong attention to detail
- Exceptional organization skills with ability to multi-task
- Ability to maintain confidentiality of sensitive information

Tuesday, Wednesday, Thursday required office days at Panorama Office site;
Monday, Friday-work from home.
