This role supports the daily operations of an import/export trading company
, working closely with the operations team and overseas suppliers.
Key responsibilities include:
Preparing, checking, and maintaining export documentation
, including:Proforma Invoices
Commercial Invoices
Packing Lists
Internal tracking files
Following up with China suppliers on:
Order confirmations
Production updates
Packaging and documentation details
Organising and filing QC photos, videos, and product information
Updating Excel trackers for orders, production status, and shipments
Supporting senior staff with daily coordination and follow-ups
Ensuring all information is accurate, complete, and consistent before submission
This role focuses on documentation accuracy, supplier coordination, and administrative follow-ups

It does not involve physical shipment handling.
Vessel or truck bookings
Port or terminal coordination
Customs clearance processing
Warehouse or site-based operations
Experience in import/export, trading, sourcing, or manufacturing administration
Ability to read and type Mandarin for communication with China suppliers
Intermediate proficiency in Microsoft Excel and Microsoft Word
Strong attention to detail and organisational skills
Comfortable handling multiple follow-ups and routine administrative tasks
Clear written and verbal communication skills
Import / export administrative staff
Trading company administrators

Procurement or sourcing administrators
Monday to Friday: 9:00am – 6:00pm
(Lunch break: 1–2 hours)Saturday (morning): Work from home
