We’re hiring an Administrative Coordinator for a remote role supporting one of Atlantic Canada’s largest and fastest-growing independent car wash brands. We focus on delivering clean, efficient, and reliable car wash experiences — and behind the scenes, strong systems and organization are critical to making that happen.

  • What You’ll Do
  • Act as a central point of coordination for administrative systems and information management, ensuring records and non-financial systems are accurate and up to date
  • Coordinate meetings across the organization, including preparing materials and maintaining consistent formatting and structure
  • Document meeting minutes, track action items, and distribute follow-ups to relevant stakeholders
  • Format, organize, safeguard, and store documents, spreadsheets, presentations, and forms for consistency and easy access
  • Manage records and information related to third-party providers, external vendors, motor vehicle registrations, insurance policies, and health plans, ensuring proper organization and tracking
  • What We’re Looking For
  • 5+ years of experience in a similar administrative or coordination role
  • A positive, efficient attitude with the ability to collaborate with team members at all levels
  • Exceptional organizational skills with strong attention to detail
  • Proficiency using document management, collaboration, and internal storage platforms
  • Strong written communication skills
  • Proactive and able to manage competing priorities with both hard and soft deadlines
  • Able to handle sensitive and confidential information with discretion
  • Adaptable and comfortable pivoting in a fast-changing environment
