Job Description ROLE OVERVIEW

The Executive Assistant will provide high-level support to the Visionary by managing calendar coordination, inbox organization, CRM updates, and preparation for meetings. The ideal candidate is highly organised, proactive, tech-savvy, and capable of maintaining confidentiality while working independently in a fast-paced environment. This role requires a high level of discretion, initiative, and attention to detail.

KEY RESPONSIBILITIES
  • Calendar Management
    • Proactively manage and coordinate the executive’s daily, weekly, and monthly calendar.
    • Schedule internal and external meetings, ensuring optimal time management and avoidance of scheduling conflicts.
    • Prepare and circulate meeting agendas and reminders.
  • Inbox and Email Management
    • Monitor and triage the executive’s email inbox daily.
    • Flag urgent messages, draft responses where appropriate, and ensure timely follow-up on priority items.
    • Maintain organised email folders for efficient retrieval.
  • CRM and Contact Management
    • Maintain and update the CRM system with contacts, meeting notes, and follow-up tasks.
    • Assist with CRM automation (e.g., reminders, task creation, follow-up sequences).
    • Ensure accuracy and data integrity within the system.
  • Meeting Preparation and Support
    • Schedule and coordinate virtual and in-person meetings.
    • Take minutes and action notes when required.
    • Follow up on assigned action items to ensure timely completion.
  • General Administrative Support
    • Assist with task tracking and follow-up.
    • Coordinate logistics for travel, events, and other engagements as needed.
    • Handle ad hoc executive support duties aligned with the visionary’s needs.
  • Requirements REQUIREMENTS
    • Minimum 10 years’ experience as an Executive Assistant or Personal Assistant at executive level.
    • Proficiency with digital tools including Google Workspace, Microsoft Office, Zoom, and CRM systems Zoho.
    • Exceptional organisational and time-management skills.
    • Excellent written and verbal communication skills.
    • Ability to work independently, exercise judgment, and maintain confidentiality.
    • Strong attention to detail and proactive problem-solving.
