Lettings Administrator & Renewals Remote | Supporting a London Property Portfolio
Salary: R25 000 per month
About the CompanyOur client is a well-established London-based residential property business with a large and diverse lettings portfolio. Operating within a shared services model, they support multiple UK teams and are known for their structured processes, high compliance standards, and strong customer service culture.
They are expanding their offshore support function and are seeking a South African based Lettings Administrator & Renewals professional to work remotely, supporting their UK lettings operations.
The RoleThis is a remote, UK-facing administrative role focused on tenancy renewals, documentation, compliance support, and day-to-day coordination between landlords, tenants, and internal UK teams.
You will play a critical role in ensuring tenancy renewals are managed proactively and accurately, while maintaining excellent communication and service standards.
Key Responsibilities Renewals & Tenancy Administration- Proactively manage tenancy expiry dates and maintain an accurate renewals pipeline
- Contact landlords and tenants at least two months before tenancy expiry to confirm intentions
- Negotiate and agree renewal terms, including rent adjustments and contract durations
- Draft and issue renewal offers and agreements
- Prepare tenancy agreements, licence agreements, and prescribed legal documentation
- Ensure signed documents are received, checked, and correctly stored
- Update tenancy records, rental values, and contract dates on the CRM system
- Act as a key point of contact for renewal-related and tenancy administration queries
- Follow up on outstanding responses from landlords and tenants
- Provide regular updates to UK-based Lettings Managers and negotiators
- Assist in monitoring compliance deadlines and flag upcoming expiries
- Support Right to Rent follow-ups and maintain accurate compliance records
- Update rent changes and tenancy terms accurately on internal systems
- Maintain well-organised digital filing and database records General Lettings Administration
- Support onboarding of new properties and tenancies
- Assist with referencing and pre-tenancy administration when required
- Liaise with internal departments to ensure smooth tenancy progression
- Provide administrative support to Lettings Managers
- Deliver a professional, responsive, and customer-focused service to UK landlords and tenants
- Handle inbound emails and calls efficiently during UK working hours
- Previous experience in UK lettings administration, renewals, or property support (essential)
- Strong understanding of UK tenancy processes and documentation
- Excellent written and verbal English communication skills
- Highly organised with strong attention to detail
- Comfortable working remotely and managing multiple priorities independently
- Confident using CRM systems and digital document management tools
- UK working hours (typically 9:00–18:00 UK time)
- Fully remote role based in South Africa
- Stable internet connection and professional home working environment required as well as back up power.
