ABOUT
THE ROLE
We are seeking an outstanding individual for the role of US Operations Assistant within our Operations department. This position includes providing assistance to the Operations team in a wide range of operational tasks and plays a key role in ensuring execution of internal processes and daily administrative tasks. The ideal candidate will be detail-oriented, organized and someone who can thrive in a fast-paced environment while consistently exceeding expectations.
This is an overnight position to support the needs of the US office. Candidates must be able to work New York hours from 9 am - 6 pm EST. (10:30 PM-7:30 AM IST)
WHAT YOU’LL DO
- Manage complex calendars for senior leaders by scheduling meetings and interviews while coordinating with various stakeholders on availability
- Maintain and update operational trackers, dashboards, and reports used for management and client reporting
- Process employee access requests and provision timely access to software systems, including but not limited to Quickbooks, Ramp and
- Monitor weekly time reporting and follow up with employees to ensure timely and accurate submission
- Edit, format, and send documents for electronic signature using the Sign Now e-signature platform, track completion status and follow up as necessary
- Serve as a central point of contact for administrative and operational inquiries during U.S. business hours
- Utilize Excel skills to build in-depth analyses, create reports, and support ongoing operational needs
- Compile recruiting profiles aligned with open positions via Linked In
- Support onboarding and offboarding activities for clients and employees
- Perform general administrative and clerical duties, including data entry, file management, and document preparation
KEY QUALIFICATIONS
- Exceptional attention to detail with a high degree of accuracy
- Must be an MBA ready to work at Night Shift
- Effective organizational and time-management skills
- Very strong written and verbal communication in English
- Advanced Microsoft Excel skills, including formulas, pivot tables, and data tracking/reporting; knowledge of power query.
- Self-directed with the ability to prioritize and manage multiple tasks
- Previous experience as an Executive Assistant, Admin or Data Analyst is preferred
- Previous experience with a US company is preferred
WORK MODEL
This is a full-time position that starts immediately. We maintain a hybrid and flexible model that balances remote work with in-person collaboration from our Kolkata office.
