- Entering all payables, verifying of goods/services received, and issuing payments.
- Handling all payment inquiries from vendors/service providers by phone call and email.
- Daily invoicing of customers (15-30 invoices a day).
- Complete various daily and monthly reports on profit margins, sales, production, and trucking.
- Employee new-hire orientations, explain/enroll in benefits, and complete W-2 forms.
- Answer and assist with all benefit-related questions and problems for active employees.
- Filing and oversight of work comp claims and FMLA/short-term disability leaves.
- Weekly payroll with manually calculated shift hours from timecards for approx. 80 employees.
- Annual renewals of various trucking permits and licenses.
- Filing of quarterly IFTA (trucking) tax.
- Assist with annual accounting audit planning and annual audit.
- Greet vender and customer representatives at the check-in window (first impression of the company).
- Office, janitorial, and production supply ordering and inventory management.
- Daily interaction with multiple departments, employees, and upper management.
- Answer the majority of incoming calls from vendors, freight brokers, truck drivers, customers, and product/services salespersons.
- Coordination, planning, and facilitation of annual holiday party, flu shot clinic, audiograms, and other events.
- Tracking/management/entry of employee PTO balances, 90-day raise dates, 401k eligibility/contributions, garnishments, healthcare eligibility, HSA eligibility/contributions/enrollment, referral bonuses due dates, etc.
- We do not have snow days, have the opportunity for remote work, or have flex time hours. Must report to Madison Heights Monday-Friday 8a-5p.
- Proficiency in accounts payable processes, invoice management, and account reconciliation
- Strong administrative and organizational skills, including the ability to handle office correspondence and support day-to-day operations
- Proficient in utilizing number pad on keyboard for data entry.
- Excellent communication and interpersonal skills for vendor and team interactions
- Ability to multitask, prioritize tasks, and manage deadlines in a fast-paced environment with little oversight.
- Great attendance, with infrequent tardies and unscheduled absences.
- Previous experience in administrative or accounting roles is advantageous
- High school diploma or equivalent required; additional education or certifications in accounting or office management are a plus
- 1 st of the month following start of employment:
