Operations Manager Ohio University Hillel

Role Overview

Ohio University Hillel is seeking an organized, detail-oriented, and friendly professional to support our day-to-day operations, from coordinating orders for student leaders and staff to managing our building and social media calendars. You will ensure tasks are completed accurately, efficiently, and with a high level of care, while contributing to a positive work environment and staff culture. You must have excellent administrative skills and be approachable, personable, and sensitive to the needs of others.

This position is an excellent entry (or re‑entry!) point to Hillel and Jewish communal work or non‑profit management for someone who is passionate about the behind‑the‑scenes work that goes into building thriving communities. Join our small and scrappy three‑person team, reporting directly to the Executive Director.

What You’ll Do
  • Serve as liaison with external bookkeeping/accounting firm, performing local financial responsibilities including processing check requests, reimbursements and other transactions
  • Assist with review of existing policies and development of new policies (e.g. operations manual, facility reservations, and security)
  • Support data management of both student and donor records
  • Oversee office operations and facilities, including building upkeep, vendor coordination (custodial, maintenance, IT), and ensuring office systems operate efficiently
  • Manage space usage and program logistics, including room reservations, set‑up, supply ordering, and RSVP collection
  • Coordinate logistics for weekly Shabbat and holiday meals, and provide support for large‑scale events
  • Maintain inventory of office and kitchen supplies
  • Provide occasional operational support at student programs, including Shabbat and holiday gatherings on evenings and/or weekends (averaging once or twice per month).
  • Prepare regular newsletters and oversee the Ohio University Hillel website
  • Provide development operations support, such as assisting with campaign mailings, preparing thank‑you letters, and running development reports
  • Book all travel for staff and guests
  • Along with the Executive Director, assess and evaluate internal systems to ensure smooth organizational functioning
What You’ve Accomplished
  • 0-3 years relevant experience
  • Some experience with Hillel/Jewish life or Non‑Profits a plus (but not required)
What You’ll Bring to the Job
  • Outstanding organizational and time management skills, including developing systems, organizing documents, and juggling competing priorities in a fast‑paced, sometimes ambiguous environment.
  • Eager to find answers and go the extra mile to get to “yes.”
  • Excellent verbal and written communication skills.
  • Ability to follow complex instructions and quickly learn new procedures, systems, and technologies; proficiency with Google Workspace required, with familiarity with Quick Books and CRMs a plus.
  • High attention to detail, strong sense of responsibility, and impeccable discretion, including care for clean, welcoming, and accessible spaces.
  • Inclination to take initiative and be a proactive team member
  • Commitment to being part of a staff culture that values candor, collaboration, and creativity
  • Related experience, such as cooking, basic repairs and maintenance, email marketing, or community building, is a plus.
  • Ability to comfortably carry equipment weighing up to 35 pounds
  • Valid driver’s license and access to a vehicle is an asset
What You’ll Receive
  • A competitive salary in the non‑profit marketplace. The salary range is $48,000-$53,000.
