Solutions Connektica Inc., headquartered in Montreal and Toulouse (France), designs and develops SaaS software solutions originally built for the space manufacturing industry.

Our platform integrates the digitalization of assembly procedures, test automation, data processing and analytics, and automated reporting, including quality assurance criteria verification.

Connektica serves customers in Quebec and across Europe and is expanding its team to support continued international growth.

Role

Connektica is seeking an Administrative Assistant to join the Montreal team.

This position supports human resources operations, general administration, and bookkeeping activities, under the supervision of the Administrative Director.

Responsibilities Human Resources Employee Administration
  • Create and maintain employee records (onboarding, status changes, terminations)
  • Prepare employment-related documentation (employment certificates, offer letters, internal forms)
  • Support onboarding processes: prepare welcome packages, coordinate access setup, manage standard contractual documentation
  • Ensure strict confidentiality of all employee and HR-related information
  • Support HR development initiatives: training plans, performance reviews, and career management processes
  • Contribute to the development and updating of HR policies (leave policies, remote work, employee handbook, etc.)
Recruitment Support
  • Draft and review job descriptions
  • Post job openings on relevant platforms
  • Schedule and coordinate interviews
  • Track applications and communicate with candidates (including rejection letters)
Employee Support
  • Respond to routine employee inquiries related to policies, forms, leave requests, etc., or direct them to the appropriate contact
  • Assist in coordinating internal and external training sessions
Payroll and Benefits
  • Compile time data (timesheets, leave records) for payroll processing, in coordination with the payroll provider
  • Support benefits administration (enrollments, updates, changes)
General Administration
  • Manage office facilities and equipment (maintenance, insurance, equipment upkeep)
  • Oversee corporate documentation, mail handling, filing systems, and internal communications
  • Administer software tools and subscriptions, including access management, license tracking, and data security review
  • Identify potential grant opportunities; support grant application preparation, claims submissions, and follow-up on active funding programs
Vendor and Procurement Management
  • Negotiate vendor contracts and renewals
  • Manage purchasing and track supply orders
  • Maintain office supply inventory and oversee stock management
Executive Support
  • Organize and prepare meetings
  • Draft and revise correspondence, reports, presentations, and corporate documents
  • Coordinate business travel arrangements (flights, accommodations, transportation)
Accounting and Legal Support Accounting Assistance
  • Receive and file invoices
  • Record expenses in the accounting system
  • Manage expense reports
  • Process invoice payments and follow up on outstanding accounts
Legal and Commercial Support
  • Maintain commercial contract registers and client documentation
  • Assist with corporate records management (corporate minute book, share records)
  • Support general legal compliance requirements
Required Qualifications
  • AEC or DEC in Administration, Management, Accounting, Human Resources, or a related field, or equivalent professional experience
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint) or Google Workspace (Docs, Sheets, Slides)
  • Minimum of 2 years of experience in a similar role, or a combination of relevant education and experience
  • Bilingual proficiency in French and English
  • Knowledge of or experience with French labor law (an asset)
