We seek a reliable personality with a positive and creative can-do attitude for the position of a Business/Executive Assistant to the owner-CEO of a German IT company. Your task will vary from administrative to personal and we expect you to perform them in a well-organized manner.
This role is a great opportunity to dive deep into the German business culture and gain valuable experience working in a European IT company. You will work on various administrative tasks related to IT business development and business communication. Ultimately, you will contribute to business efficiency by providing timely support directly to the CEO and working as her trustworthy "right hand"
Requirements- At least 3 years of proven work experience on administrative positions (desirably as a Personal/Business/Executive Assistant, or similar role)
- Excellent verbal and written communication skills
- Ability to define issues, collect data, establish facts, and draw valid conclusions, summarize only the most important information
- Familiarity with office services (Outlook, Microsoft Office, Notion, Asana, AI tools etc.)
- Stress resistance and getting things done approach
- Ability to multitask and prioritize daily workload
- Ability to keep track of multiple projects, provide “a helicopter view”
- Discretion, confidentiality, and diplomacy
- Patience, tact, and a keen eye for detail
- Sense of humor is essential
- Act as the point of contact among CEO, employees, clients, contractors, external partners
- Manage CEO’s dynamic and flexible calendar, set up internal and external meetings prioritizing them
- Help with planning personal tasks: medical checkouts, training & education, kids clubs, household chores, booking, etc.
- Control over timely and effective CEO’s participation in meetings, take short minutes/follow-ups
- Manage and prioritize information flow in a timely and accurate manner
- Coordinate task performance with other departments via E-Mails and Teams
- Act as an intermediary for clients, and contractors via E-Mails, Telegram, Whats App etc.
- Participate in meetings with clients and contractors on behalf of CEO
- Make travel and accommodation arrangements
- Preparing correspondence on the CEO’s behalf – emails, presentations, reports etc.
- Keep a track record of incoming inquiries on Linked In and answer them if necessary
