Position Title: Executive Administrative Assistant

Reports To: Executive Administration & Events Manager

Job Status: Non-Exempt

Job Grade & Pay: Grade 8;
Starting pay $20 hourly

Work Location: On-site (Remote work not available)

Job Summary: The Executive Administrative Assistant provides high-level, confidential administrative support to the Executive Administration & Events Manager and other executive staff. This position requires diplomacy, discretion, and accuracy while maintaining confidentiality throughout all assigned processes.

Duties / Responsibilities
  • Provide high level administrative support and assistance to the Executive Leadership Team.
  • Assist in the scheduling and management of assigned calendars.
  • Assist in the handling of confidential and sensitive material with a strong attention to detail.
  • Assist in the development of reporting procedures and other methods to establish timeline and assist in tracking mechanisms to ensure deadlines are met.
  • Assist in the timely and accurate completion of various management reports.
  • Prepare agendas and schedules for meetings (as assigned). Assist in the organization of the Annual Meeting, Holiday Parties and other employee events.
  • Assist in the organization and preparation for various staff and management meetings as directed by the Executive Administration & Events Manager.
  • Arrange travel and logistics, such as booking flights, car rental, hotel accommodations, conference registration, etc. Upon return, complete all expense reports and reimbursements.
  • Prepare for approval monthly expense reports as needed.
  • Retrieve information as requested from records, email, meeting minutes and other related documents; prepare written summaries of data when needed.
  • Greet members as needed. Ensure members' needs are directed to the correct department/employee.
  • Assist the Executive Administration & Events Manager with additional duties that arise.
  • Perform other duties as assigned.
Education / Experience
  • Education or experience equivalent to an associate's degree, plus 4 years of experience in office management and/or administration.
Qualifications
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high‑paced and at times stressful environment.
  • Extensive knowledge of office administration, clerical procedures and recordkeeping systems.
  • Extremely proficient with Microsoft Office Suite.
  • Patience, tact, enthusiasm towards the Members, fellow staff and general public.
  • Physical Demands – Requires sitting for a long period of time, some standing, walking, kneeling, stooping, bending, lifting, grasping and fine hand coordination. Visual and aural acuity required. Finger and hand dexterity required. Must be able to lift 20 pounds maximum, with occasional lifting and/or carrying of objects weighing up to 10 pounds. Requires ability to read and write English and communicate with members and personnel.

    Must be able to evaluate, interpret information and make independent decisions. Requires ability to remain calm under stress.
  • Work Conditions – Inside.
  • Job Related Travel – As required.

Physical Requirements
  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.
  • Must be able to access and navigate each department at the organization's facilities.
