The Events Coordinator is a highly organized and creatively driven partner to the Events Team, supporting the planning, design, and execution of CEO’s domestic and global events. This role provides support to the Director of Events, Events Design Manager and the Events Team with event design management, event production, administrative management, and event management for domestic events and in a back-up role for global events.

With a refined attention to detail and a collaborative approach, the Events Coordinator ensures that every interaction, process, and touchpoint reflects the sophistication and global stature of Chief Executives Organization and its C-suite membership.

  • Provide administrative support to the Director of Events and Events Design Manager. Help manage and maintain planning documents with strong attention to detail. Documents include, but are not limited to, the Master Calendar, Quarterly Assessment, Event Cost Comparison Document, Seat Comparison Chart, and Event Cancellation Chart.
  • Provide administrative support to the Director of Events as requested which can include expense report reconciliation, travel bookings, conference call scheduling and Board of Directors and leadership presentations.
  • Assist the Events Design Manager in preparing and producing items related to each event which can include social designs like mood boards, creative production of menu cards, place and escort cards, invitations, etc.
  • Responsible for the production and or printing of various projects as assigned by the Events Design Manager or other Events Managers for each event.
  • Study current social trends and technologies in order to develop new design concepts, graphics and layouts for future projects.
  • Assist the Events Department in website management for each event that includes inputting of schedule details, social details, off-site details and other items as requested by the Event Manager.
  • Assist the Office Manager and/or company task forces in leading the planning of company wide activities which can include: holiday parties, summer outings, happy hours, trainings and/or team lunches/dinners.
  • Serve as a backup planner to CEO Events Managers and CEO Event Chairs to plan and provide logistical guidance and onsite support for events as requested.
  • Serve as the lead event planner on smaller scale domestic events lasting one to four days.
Required Qualifications
  • At least 2 years of professional experience in an event related position or administrative position.
  • High level of professionalism, stature, and interpersonal skills to interact with C-suite executives, YPO prospects, and CEO members and to maintain professional demeanor in high-stress situations.
  • Ability to professionally collaborate in an internationally based, multi-cultural organization.
  • Results driven and ability to be proactive in achieving desired outcomes.
  • Ability to maintain, analyze, and report on data.
  • Exceptional organizational, planning, analytical, and prioritization skills.
  • Ability to identify problems, troubleshoot, and provide effective solutions.
  • Passion for excellence and team-oriented, collaborative work style.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft office (especially Word, Excel, PowerPoint, and Outlook), Canva, Adobe (especially Acrobat, Photoshop, Illustrator, InDesign), and Salesforce.
  • General understanding of working with new technology platforms and printers.
  • Flexibility to travel for CEO, as requested, which can include weekends and evenings, and having a valid passport.

This is a hybrid position based at CEO’s headquarters office located in Washington, DC. Our team is in the office three days and working from home two days each week.

Salary Range: $60,000 - $69,000
