We are seeking an Onboarding Coordinator to join our team, responsible for managing the full onboarding and compliance process for newly hired Behaviour Therapists within the ABA (Applied Behaviour Analysis) healthcare industry. This role ensures that all required documentation, background checks, credentialing, training, and regulatory requirements are completed accurately and efficiently so that therapists can begin delivering services without delay.
This role involves administrative/data-entry tasks, requiring strong communication skills, attention to detail, and the ability to manage multiple onboarding tasks in a fast-paced environment.
PLEASE NOTE:
- Working Hours: Monday – Friday | 9:00 AM – 6:00 PM EST (4:00 PM – 01:00 AM South African time – subject to daylight savings).
- Public Holidays: This role requires working on both South African and U.S. public holidays (compensation for SA public holidays in accordance with the BCEA).
- Internet Requirements: A fixed fibre line with a minimum speed of 25 Mbps (upload & download) and wired Ethernet capability is mandatory. Applicants without a fixed fibre line cannot be considered.
- Power Backup: Reliable backup required to manage load shedding or outages. Applicants without a power backup cannot be considered.
- Work Environment: Fully remote.
Job Responsibilities (not limited to):
- Manage the full onboarding process for newly hired Behaviour Therapists.
- Track, collect, and review required employment documentation and certifications.
- Coordinate background checks, credentialing, and compliance requirements in line with company and regulatory standards.
- Schedule and monitor completion of required training programs.
- Communicate regularly with new hires via phone and email to ensure a smooth and timely onboarding experience.
- Partner with HR and clinical leadership to meet hiring timelines and workforce needs.
- Maintain accurate records and perform data entry within internal systems.
- Proactively follow up on outstanding documentation and compliance items.
- Identify process improvements and assist with additional administrative tasks as required.
Requirements
- Working Experience:
- Previous experience in HR, recruitment, onboarding, or administrative support is preferred.
- Experience with in healthcare or ABA settings is advantageous but not required.
- No specific ABA industry experience required.
- Soft Skills:
- Excellent verbal and written English communication skills.
- Professional, patient, and confident phone manner.
- Highly organized and detail-oriented.
- Proactive with strong follow-up skills.
- Able to manage multiple tasks in a structured, deadline-driven environment.
- Technical Skills:
- Basic computer skills and system navigation.
- Proficiency in MS Office and Outlook.
- Comfortable performing accurate data entry and maintaining digital records.
