Position: Authorizations & Administrative Coordinator (ABA Services) - EST Hours (Remote)

We are seeking a highly organized and proactive Authorizations & Administrative Coordinator to support assessment scheduling, insurance authorizations, and general administrative functions. The successful candidate will work closely with BCBAs (Board Certified Behaviour Analysts) and supervisors to ensure smooth coordination of therapy services and compliance with insurance requirements

PLEASE NOTE:

  • Working Hours: This role requires you to work EST hours Mon - Fri from 8 am to 5 pm EST (15:00 to 00:00 South African time - subject to change in accordance with daylight savings in the United States).
  • Public Holidays: This role requires you to work on both South African and US public holidays (compensation for SA public holidays in accordance with the BCEA)
  • Internet Requirements: A fixed fibre line with a minimum speed of 25 Mbps (upload & download) and the ability to support a wired Ethernet connection is mandatory. Applicants without a fixed fibre line cannot be considered.
  • Power Backup: A reliable power backup solution is required to manage load shedding and power outages. Applicants without a power backup cannot be considered.
  • Work Environment: This is a fully remote working role.

Responsibilities

  • Monitor and track expiring client assessments.
  • Coordinate with BCBAs to schedule and complete reassessments.
  • Submit documentation to insurance providers to obtain authorizations.
  • Maintain accurate records and documentation.
  • Provide administrative and virtual assistant support as required.
  • Communicate effectively with internal teams to ensure efficient workflow.
  • Assist supervisors with additional operational and administrative tasks.

Requirements

  • Prior exposure to ABA therapy environments.
  • Medical or healthcare administration background.
  • Familiarity with US health insurance processes (advantageous).
  • Strong attention to detail with the ability to maintain accuracy and consistency across large datasets.
  • Comfortable working with electronic systems and able to learn new computer programs quickly.
  • Ability to follow structured processes and ensure all required documentation is complete.
  • Professionalism in handling sensitive information with confidentiality.
