Position Overview
We are expanding our remote operations team and are seeking a highly dependable, detail-focused, and process-oriented Remote Administrative Operations Assistant to support internal workflows across teams serving the MENA region, including the UAE, Qatar, and Saudi Arabia. Role ObjectivesThe primary objective of this position is to ensure that internal administrative systems remain accurate, organized, and reliable. By maintaining structured data and supporting task coordination, you will contribute to operational stability and improved team productivity. This role requires consistency, accountability, and a proactive mindset when identifying missing information or process gaps.
Key ResponsibilitiesAdministrative Data Oversight and Record Maintenance — You will manage and maintain shared spreadsheets, operational dashboards, and internal documentation systems using platforms such as Google Sheets and Microsoft Excel. Daily responsibilities include reviewing data entries for completeness, ensuring formatting consistency, standardizing region identifiers and naming conventions, and correcting obvious inaccuracies. You will identify duplicate entries, incomplete records, and inconsistent data fields, then flag or resolve them according to established guidelines.
In addition, you will maintain structured folder hierarchies, ensure files are named correctly, and verify that shared documents remain accessible and up to date.
Workflow Coordination and Task Monitoring — This role involves supporting the flow of administrative tasks across teams. You will review incoming internal requests, categorize them appropriately, and assign or route them according to predefined processes. Monitoring progress from initial assignment through completion will be a regular responsibility. You will track deadlines, follow up on delayed tasks, and document outcomes in shared systems.
Clear written communication will be essential when clarifying incomplete instructions or requesting additional details.
Operational Tracking and Reporting Support — Maintaining visibility into daily work activities is an important function of this role. You will update trackers that reflect completed items, ongoing tasks, and pending actions. Logging updates, documenting issues, and identifying follow‑up requirements will form part of your routine workflow. From time to time, you may prepare concise progress summaries that outline work completed, items awaiting resolution, and recurring issues identified.
Scheduling and Coordination Assistance — You may be asked to provide basic scheduling and coordination support, including confirming availability, updating shared calendars, and sending reminders related to deadlines, onboarding steps, or milestone completion. Ensuring that timelines are met and administrative steps are completed in sequence requires reliability and strong time awareness.
