The Opportunity

A highly accomplished CEO, investor, and philanthropist is seeking an exceptional Executive Assistant (EA) to serve as a deeply embedded partner across a dynamic and multifaceted portfolio of commitments.

The CEO leads a complex, 1,000+-employee company, with additional responsibilities that extend beyond the business to include investments, philanthropy, travel, and personal operations. This role is designed to support him holistically — ensuring that his time, energy, and focus are directed toward the highest-impact priorities across all domains.

While the CEO’s primary business serves as the administrative home base for the position, the orientation of the role is directly aligned to the CEO and his full ecosystem. The right candidate will operate as a trusted extension of the principal — bringing discretion, precision, and exceptional judgment to an environment that is fast-moving, global, and highly complex.

This is not a traditional, office-bound Executive Assistant role. It requires adaptability, mobility, and a proactive approach to managing shifting priorities and high-stakes engagements. The individual in this position will be exposed to consequential work and influential leaders, supporting initiatives that frequently intersect with global conversations.

Core Responsibilities Full-Scope Executive Time Management
  • Serve as the primary administrative and operational partner to the CEO, managing a complex and dynamic calendar with sound judgment and prioritization – across business, personal, philanthropic, and investment commitments
  • Exercise exceptional judgment in prioritization, sequencing, and trade-offs
  • Operate with the mindset that if it matters to the CEO, it is a priority for this role
  • Anticipate conflicts, friction points, and inefficiencies before they arise
  • Remain continuously aligned with evolving priorities, pace, and intensity
  • Act as a trusted gatekeeper and thought partner, deeply understanding the CEO’s priorities, working style, and decision-making preferences
  • Anticipate needs, identify risks, and resolve issues proactively
  • Handle highly sensitive and confidential information with discretion and professionalism
Global Travel & Logistics Leadership
  • Coordinate and manage complex domestic and international travel, logistics, and contingencies across all domains
  • Interface closely with a dedicated flight department (6+ team members)
  • Coordinate hotels, ground transportation providers, security teams (internal and external), and contingency planning
  • Oversee food planning and personal logistics during travel, work engagements, and at home as needed
  • Travel ahead of or alongside the CEO, when required, to ensure seamless execution
  • Maintain precision and calm in high-complexity, time-sensitive environments
Personal Office Coordination
  • Provide personal and family-office support to reduce friction and protect executive focus (e.g., coordinating personal travel adjacent to business travel, managing time-sensitive personal logistics)
  • Assess capacity, coverage, and effectiveness across the executive and family office and recommend additional talent, external support, or role design when needed to ensure sustainability and scale
  • Establish clear standards for how information, decisions, and priorities flow to and from the CEO across both business and personal domains
  • Coordinate smoothly with multiple family office and institutional teams at the highest levels globally
Ideal Candidate Profile
  • 10+ years supporting a CEO, founder, principal, or senior executive in a highly complex environment
  • Experience in family office, private equity, founder-led companies, or similarly dynamic ecosystems strongly preferred
  • Proven mastery of high-volume global travel coordination
  • Exceptional calendar judgment and real-time prioritization capability
  • Experience coordinating across multiple teams and domains simultaneously
  • High emotional intelligence with strong composure under pressure
  • Analytical, thoughtful, and data-oriented
  • Low-drama, steady, and solutions-focused
  • Comfortable operating independently without constant instruction
Personal Attributes
  • Detail-oriented and precise
  • Observant and proactive
  • Calm in high-stakes or fast-changing environments
  • Comfortable with intensity and high expectations
  • Professional, polished, and discreet
  • Energized by solving complex coordination challenges
Salary and Benefits
  • Base salary range is $150,000–$175,000
  • Benefits include Medical, Dental, Vision, flexible/unlimited PTO; stock options; standard company holidays.
  • Compensation will reflect experience, relocation, and travel expectations.
