The School of Health and Life Sciences (SHLS) is looking for a self-motivated individual with a great attitude to provide administrative support for the school’s leadership and program staff. As the successful candidate, you will be confident in working independently and interacting with staff, students, and other stakeholders. You will exercise good judgement, have the ability to adapt to change, and be skilled in multi-tasking in a fast-paced environment.

Strong time-management skills and an aptitude for flexibility and life-long learning will be necessary, as well as excellent communication and interpersonal skills.

Key Responsibilities:

  • Coordinates and collaborates with all levels of administrative professionals on administrative efficiencies in support of department and school activities.
  • Assists the Associate Dean with operational activities in the areas of finance, scheduling, human resources, contracts, IWAS, timesheets, payroll, attendance management.
  • Provides support for recruitment, onboarding, and offboarding activities and ensures completion of all necessary Human Resources documentation.
  • Coordinates meetings including agendas, itineraries, meeting notices and related materials, calendar invites and response, records/distributes minutes; manages Associate Dean calendars.
  • Coordinates contract service requests for staff and vendors.
  • Researches and prepares information, organizes, tracks, and maintains related reports and documentation.
  • Provides administrative support to the School’s Work Integrated Learning office.
  • Assists with annual accreditation compliance, submissions and visit preparation.
  • Supports all program(s) and department projects as needed.
  • Performs other related duties as assigned.
  • Skills & Abilities:

  • Excellent interpersonal and communication skills.
  • Strong organizational and time management skills.
  • Proficient with MS Office Suite (Excel, Word, PowerPoint, Access, Teams).
  • Awareness of policies, guidelines, and procedures that impact departments.
  • Awareness of budget-related processes.
  • Awareness of student administration and finance systems.
  • Qualifications:

  • Certificate or Diploma in Business, Office Administration, or other related disciplines.
  • Minimum of three years’ related experience.
  • An equivalent combination of education and experience may be considered.
  • Applicants with education credentials earned outside of Canada should have their credentials evaluated by World Education Services (WES), International Qualifications Assessment Service (IQAS) or the Comparative Education Services (CES).

    Remuneration
    : $51,195.82 - $66,254.76 annually, plus a comprehensive benefits package. (Classification – Administrative Support V).

    This position is covered by the Alberta Union of Provincial Employees (AUPE) Collective Agreement.
