Overview
Providing high value support is an essential part of the services we provide as a Legal Administration function. As a Personal Assistant you will work collaboratively with partners, fee earners or senior business services leaders to deliver an exceptional legal administration service. In an ever changing fast-paced environment, we take pride in achieving objectives that support DLA Piper in its provision of market leading legal services.
Responsibilities- Stakeholder engagement:
Develop strong relationships with stakeholders within your team and across the firm; proactively promote the benefits of teamwork with fee earners and senior business service leaders; share feedback from stakeholders with leaders to resolve issues and maintain service levels; share knowledge and best practices with the team; act as a role model and mentor; participate in team meetings. - Compliance support:
Provide support to partners and fee earners with client onboarding and matter setup and management; engage with partners, fee earners and/or clients to capture mandatory information for onboarding and compliance reviews; liaise with the billing team to ensure client master data is accurate and up to date to streamline downstream billing processes. - Team workflow:
Monitor workflow from the team inbox and complete tasks in priority order; manage expectations of deadlines and outcomes; ensure work is undertaken efficiently. - General legal administrative support:
Proactive task handling and anticipation of potential problems; ensure accurate and timely use of platforms to open, maintain, close and archive matters; manage accounts payable, expenses and disbursements; record time as required; manage file quality of correspondence, documents, emails and research; coordinate internal and external client meetings and book rooms and equipment; prepare agendas and collate papers; draft/edit documentation in line with the DLA Piper style;
arrange travel and related bookings; support client-related activities, events, and submissions; understand client financial reporting processes; collaborate with billing/finance teams; adhere to remote work expectations under the Worksmart Flex policy; assist on ad-hoc projects; undertake other duties as required.
- Previous experience in an administrative role within a professional services environment
- Proficient in using technology platforms and systems, such as MS Office
- Strong organisation and prioritisation skills
- Good stakeholder management and communication skills
- Ability to demonstrate problem solving skills
- Good verbal and written communication skills
- Adaptable, and willing to flex to meet business needs
- Able to remain calm under pressure
