THE OPPORTUNITY
As the Office Manager for our London office, you will play a highly visible and trusted role at the center of our UK operations. This is a hybrid position based in London, with in‑office presence required Tuesday through Thursday and remote work on Mondays and Fridays.
This hands‑on role blends office administration, finance coordination, and HR support in partnership with our global teams. You will ensure the smooth day‑to‑day running of the office while serving as a key liaison between local stakeholders and RMS globally. This role is ideal for someone who thrives in a dynamic environment, takes ownership, and enjoys creating structure and efficiency.

WHAT YOU'LL DO Office Administration- Oversee daily office operations and maintain a professional, organized environment
- Act as the main contact for building management, suppliers, and government bodies (HMRC, Home Office)
- Support vendor contract coordination and renewals
- Organize business travel, meetings, and team events
- Manage onboarding and offboarding logistics (equipment, access, workspace setup)
- Maintain internal documentation and CRM contractual records
- Procure and manage office and IT equipment
- Identify opportunities to streamline processes
- Finance coordination
- Process supplier invoices and employee expense claims
- Prepare and track payments via online banking platforms
- Support daily banking review and reporting
- Assist with client re‑invoicing and audit documentation
- Coordinate required information for external accountants and global finance teams
- Support budget tracking and local financial reporting
- Maintain employee personnel files in compliance with UK regulations (in coordination with the People Success team)
- Submit required information to external benefits providers
- Support recruitment logistics and onboarding documentation
- Track holidays and absences
- Redirect HR‑related questions to the People Success team
- Support implementation of global HR initiatives at the local level
- Experience as an Office Manager, Operations Coordinator, or similar role
- Exposure to UK office operations and employment practices
- Experience working with external providers (accounting, benefits, HR)
- Highly organized, proactive, and detail‑oriented
- Strong communication skills and discretion with confidential information
- Proficiency in Microsoft 365
