The Technical Content Coordinator is a role that focuses on execution, providing operational and administrative support to AACE International’s technical programs, with a primary emphasis on developing standards, recommended practices, and peer-reviewed technical papers.
Reporting to the Director of Technical Guidance, this position enhances technical workflows by adding capacity, consistency, and follow-through through the coordination of documentation, schedules, and communication with volunteer committees and subject matter experts. The role also provides secondary support for the AACE International Conference & Expo, including the abstract and paper submission process, as well as technical seminars.
This role is designed for a highly organized individual who takes direction well, manages details reliably, and ensures work moves forward smoothly through established processes.
Core Responsibilities- Provide administrative and coordination support for the development of AACE standards, recommended practices, and technical papers.
- Maintain consistency, version control, and documentation across technical deliverables.
- Maintain organized records, files, and communications related to technical content development.
- Collaborate with internal staff to ensure smooth handoffs and clear communication.
- Track workflows, milestones, and documentation from concept through publication.
- Support efforts to reduce cycle time and bottlenecks in technical content development.
- Schedule and coordinate meetings, manage communications, prepare agendas, and record outcomes to ensure timely follow-up with volunteers.
- Keep committees on track with established timelines, requirements, and processes.
- Serve as trusted staff support to technical committees, subcommittees, and working groups.
- Respond to procedural questions and escalate substantive or political issues to the Director of Technical Guidance.
- Coordinate logistics and materials for technical education offerings, including the technical seminars and sessions for the Conference & Expo.
- Support instructors and subject matter experts with scheduling, documentation, and preparation.
- Assist with aligning technical education content, standards, and recommended practices under direction.
- Provide direct support to the Director of Technical Guidance, including task tracking and follow-through.
This position reports to the Director of Technical Guidance and does not have direct reports.
Qualifications and Professional Profile- Expert‑level proficiency with various Microsoft Office applications (primarily Word, Excel, and Visio) is required. Microsoft Office Specialist (MOS) certification preferred.
- Clear, professional written communication skills.
- Strong organizational skills with attention to detail and follow-through.
- Ability and interest in learning new systems and applications.
- An analytical mindset with the ability to problem‑solve.
- Prior exposure to standards development, technical documentation, or professional education is a plus.
- Ability to manage multiple tasks and deadlines simultaneously.
- One to three years of experience in an administrative, coordination, or project support role.
- Comfort working with volunteers, committees, and subject matter experts.
- Travel 10–15% of the time to support the Technical Board.
- Experience in an association, nonprofit, or professional society environment is preferred but not required.
- A bachelor’s degree in a field emphasizing writing, organization, or project coordination is preferred.
