This position is located in Babynet, York County. This is an in-office role and not a telecommute or remote position.
Are you the One? We are looking for a Administrative Specialist II who provides administrative assistance to eligibility staff to improve efficiency in the 25-day process and community relationships. Performs administrative duties such as filling, mailing letter, and answering phone calls to families for upcoming evaluations, timely and accurate documentation in the Baby Net educational record as required, reviews eligibility paperwork for accuracy prior to evaluation date.

Provides internal customer services by working in harmonious relationships and developing sound solutions to accomplish the South Carolina Department of Health and Human Services mission (the Department). Demonstrates positive, cooperative and professional relationships and customer service with staff, co-workers, customers, providers, administrators, the general public, and all stakeholders. Must exhibit dependability/reliability/time management by reporting to work on time, by meeting work schedules and deadlines and completing job tasks effectively and efficiently.

Responsibilities
  • Assists clients in person or via telephone. Adheres to all Baby Net policies, HIPAA, FERPA and Medicaid Confidentiality rules. Must maintain punctuality with established schedules and exhibits exemplary customer service skills. Assists in maintaining both the Baby Net educational file and the electronic educational record for reach client. Contacts families and other community resources as needed to assure timeliness of intakes.

    Sends out letters and/or other required correspondences, as needed, to families referred to the Baby Net program. Scans files accurately into OnBase using correct indexing and county information. Receives faxes and directs faxes to appropriate worker or virtually prints faxes into OnBase.
  • Receives incoming requests for information regarding Baby Net program. Receives documents and forwards incoming correspondence to Baby Net Coordinators. Makes other referrals as appropriate and record requests as needed. Maintains Supplemental Security Income (SSI) requests and requests for information related to foster care/adoptive placement; responds to these requests in a timely manner.
  • Maintains, keeps, updates and replenishes inventory of needed forms, brochures, pamphlets, parent information packets and supplies for the local SPOE office. Maintains office equipment and promptly ensures request for technical assistance are placed when needed.
  • Attends meetings and training sessions as required. Makes and keeps schedules, completes tasks timely and reports to work timely. Maintains awareness of and complies with all agency policies, to include privacy, confidentiality.
  • Performs other related duties as assigned to provide support to the Baby Net SPOE Local Supervisor and intake/service coordinators in the region.

A high school diploma.

Related clerical experience may be substituted for a high school diploma.

  • Sitting or standing for long periods of time.
  • Lifting requirements: 20 lbs.
  • Knowledge of laws, regulations and policies relevant to the agency of employment.
  • Must be able to perform routine administrative duties.
  • Exercises discretion in applying policies and procedures.
  • Adheres to all agency policies, HIPAA Medicaid Confidentiality rules.
