About the Role
The Meetings and Administrative Coordinator will support the Content Science Teams and the Olathe Facility. The Content Science Teams consist of four departments:
Assessment Services, Licensure, Statistical Reporting & Analytics, and Content Management. The role will provide administrative support and coordinate meeting planning for internal and external in‑person meetings. This position is based in our Olathe, KS office and reports to the Meetings & Administrative Manager.
This is a full‑time permanent role, with flexible hours around core office availability Monday to Friday. The role is expected to be based at the Olathe office in Kansas for 3 days per week minimum, with remote working available 2 days per week.
Key Responsibilities- Recruit Subject Matter Experts (SME) to attend Examination Review Committee (ERC) meetings.
- Coordinate and track SME meeting participation and requests.
- Process and track SME reimbursements.
- Submit Request for Proposals (RFPs), booking, and confirming hotel and flight reservations.
- Distribute Post‑ERC surveys.
- Prepare Accounts Payable forms.
- Provide routine administrative support, including:
- Data entry
- Proofreading of reports
- Maintaining office supplies
- Printing and filing, etc.
- Coordinate and prepare meeting room(s) set‑up and post‑meeting clean up in the Olathe, KS office for client meetings, internal department meetings, internal trainings, etc.
- Maintain digital and paper records and file systems (e.g., SharePoint Sites, file cabinets).
- Process and distribute incoming communications (e.g., mail, email, phone, fax) in a timely manner and respond to routine requests that do not require the manager’s attention.
- Coordinate and maintain reference book libraries and projectors.
- Coordinate and ship meeting materials (e.g., reference books, projectors).
- Project scheduling and planning (e.g., Jira).
- High school diploma or equivalent required; associate degree in office administration or related field preferred.
- Experience in meeting planning and/or Certified Meeting Professional certification.
- Office administrative support experience strongly preferred.
- Proficiency in suite of Microsoft Office products.
- Strong proofreading, English grammar, and editing skills.
- Ability to accurately type a minimum of 50 words per minute.
- Ability to exercise discretion and integrity with company information.
- Ability to lift up to 30 lbs.
