Job Summary
The Office Assistant supports the Business/Office Manager in overall office operations at the school. This individual works closely with all levels within the school, the Home Office, students, parents, and external vendors.
Essential Functions- Provide administrative support for the Business/Office Manager and Principal, including screening visitors and telephone calls, managing correspondence, coordinating calendars, scheduling meetings, ordering supplies, and facilitating communications.
- Process documents and materials such as student transfers, cumulative records, schedules, reports, and newsletters.
- Maintain student records, ensuring completeness, accuracy, and proper organization.
- Support student registration, enrollment, and attendance reporting; assist parents with applications and emphasize the importance of regular attendance.
- Maintain accurate attendance and attendance reporting for district and state reporting, truancy compliance, and alternative programs.
- Assist with testing administration and record‑keeping.
- Manage confidential information appropriately.
- Assist with free/reduced lunch program reporting.
- Administer first aid and medication to students, meeting required training.
- Collect and process payments for events such as lunch deposits and fundraisers under Aspire policy.
- Support administrators in behavior response with scholars, promoting social‑emotional development and meeting reporting compliance.
- Attend all relevant Aspire‑wide professional development and training sessions.
- Assist the Office/Business Manager with school administrative functions/tasks dictated by school site and Home Office deliverables, including vendor coordination and communication development.
- Maintain inventory, including first aid kit supplies.
- Demonstrate knowledge of and support Aspire’s mission, vision, value statements, antiracism policies, confidentiality standards, and code of ethical behavior.
- Perform other related duties as required and assigned.

- Ability to work with constant interruptions and remain focused; carry out instructions, learn new procedures, and adapt to changing conditions.

- Professional appearance and manner.
- Fluency in Spanish highly desirable.
- High School Diploma (minimum).
- At least 2 years in a fast‑paced administrative position; experience in a school environment preferred.
- Proficiency with Microsoft Office, network printing, copiers, and fax machines.
- Physical requirements:
stand, walk, bend, kneel, crouch, reach overhead, grasp, push, pull; move up to 30 lbs to shoulder height; perform fine manipulation; sit/hike/stand for extended periods; normal depth perception; use computer keyboard and telephone; see/read screens with or without vision aids; understand rules, labels, and instructions; hear and understand speech at normal levels. - Work authorization: clear DOJ background screening; authorized to work in the United States; provide health (TB) clearance.
- Indoor office, computer lab, and/or classroom environments.
- Exposure to dust, oils, and cleaning chemicals.
- Exposure to childhood diseases in a school environment.
- May be required to work outside typical workdays and office hours to meet deadlines.
