Media Labs Innovation is seeking a detail-oriented and proactive Admin Executive to support daily administrative and basic accounting operations in a dynamic SME environment. This role combines office management, accounts administration, and director support to ensure smooth business operations and accurate financial processes.
The successful candidate will be responsible for managing customer billing and supplier invoices using Xero, monitoring receivables, supporting basic payroll preparation, and maintaining organized documentation systems. In addition to financial administration, the role includes providing front-desk hospitality, coordinating team engagement activities, and assisting directors with ad-hoc operational tasks.
This position is ideal for an organized multitasker who thrives in a fast-paced setting, is comfortable using MS Office, Xero and is eager to learn and apply AI tools (eg. chatgpt) to improve efficiency and workflow automation.
Responsibilities- Create and manage customer billing and supplier invoices in Xero to ensure accurate financial records and timely payment tracking
- Monitor and follow up on outstanding payments to maintain healthy cash flow
- Enter data accurately and prepare basic payroll using templates to support payroll processing
- Consolidate accounts to provide clear financial summaries for management review
- Organize digital and physical documents using structured filing systems to maintain easy access and compliance
- Answer phone calls professionally and provide administrative support to directors to facilitate smooth office operations
- Support directors with various administrative tasks to enhance operational efficiency
- Learn and apply AI tools to improve work efficiency and support automation initiatives
- Manage multiple tasks effectively in a fast-paced SME environment using MS Office and Xero
- 1-2+ years of experience in administrative or accounts roles demonstrating proficiency in office and accounting tasks
- Positive and proactive attitude with strong attention to detail and willingness to learn new technologies
- Competitive salary $2,200 - $2,500 (based on experience)
