Position: Judiciary Secretary 1 (Office of Attorney Ethics)

Salary

SALARY: The salary range for this position is $45,877.84 to $69,484.11 for Schedule A, and $45,877.84 to $62,203.88 for Schedule

B. For newly hired individuals, the starting salary will normally be at the minimum of the salary range. For current Judiciary employees, salary upon promotion or advancement will be an increase of 5% of base salary, not to exceed the maximum of the range, or the minimum salary of the band/level, whichever is greater. Judiciary employees hired prior to August 21, 2014, are considered Schedule

A. Newly hired individuals, and Judiciary employees hired on or after August 21, 2014, are considered Schedule

Remote Work

REMOTE WORK The Judiciary currently offers a hybrid work schedule, and this position may qualify for up to 2 days of remote work outside of Judiciary buildings. To participate in this program, in addition to installing a multifactor authentication app on your phone or tablet, you will be required to have high speed home internet access.

Responsibilities
  • Accurately typing, proofreading, and disseminating correspondence, legal documents, and memoranda.
  • Drafting and preparing routine correspondence for Chief of Investigations, and demand audit letters for Investigations Unit team members.
  • Daily use of OAE Ethics System, SharePoint, Adobe, Microsoft Office, and other Judiciary interfaces.
  • Accurately entering and uploading documents, including scanning of case files and related correspondence into the Ethics System.
  • Entering accurate case data into the Ethics System.
  • Effectively redacting case files consistent with Court Rules and OAE policies.
  • Responding to inquiries from attorneys, committee members, staff members, and the public.
  • Reviewing and prioritizing incoming mail for the Chief of the Investigations Unit.
  • Taking appropriate action as directed.
  • Maintaining excellent tickler/diary and chronological files.
  • Maintaining organized files for efficient retrieval of records.
  • Accurately preparing non-financial subpoenas, correspondence and other documents as assigned.
  • Docketing new matters, tracking, closing, and preparing correspondence relating to the Trust Account Overdraft Program.
  • Accurately preparing correspondence and other documents relating to Supreme Court Approved Banks, as well as uploading documents and maintaining organized files.
  • Assisting the Chief of Investigations in maintaining accurate statistics relating to the Trust Account Overdraft Program.
  • Preparing files for closure and storage.
  • Providing back‑up clerical administrative support to the Random Audit Unit, as needed.
  • Providing back‑up support at the front reception area as needed, including answering phones, greeting court users, and assisting with mail.
  • Maintaining the confidentiality of OAE investigations.
  • Other duties as assigned by the Chief of Investigations.
Qualifications

One year of experience performing a variety of clerical and support services to include typing, secretarial and administrative clerical work.

Ability to use a keyboard, no minimum speed.

Substitution: Successful completion of a clerical training program with a minimum of 700 classroom training hours or 30 semester hour credits in secretarial science may be substituted for one year of the experience indicated above. Course work must include typing skills, methods and procedures.
