About Us

When people talk about the Flying Doctor, thoughts generally turn to red-bellied planes undertaking rescue missions in the Outback. However, the current Victorian story is one that reflects today's challenges for people living in remote and rural communities across the state. While we do still transport people by air and by road, this work is complemented by a range of primary health services that address the most common issues people living in country Victoria face when accessing health care.

About

the role

The Events Administrator is responsible for supporting the delivery of high‑quality events and activations across the organization. This fixed‑term 3‑month contract (until 30 June 2026), 30.4 hrs a week (0.8 FTE) is suited to someone who is organised, detail‑focused, and available to commence immediately. In this role, you will work under the direction of the Events & Community Engagement Lead to ensure the smooth planning and execution of events.

This includes coordinating logistics, managing stakeholders and attendees, and maintaining clear communication throughout each stage of event delivery. The position also supports day‑to‑day tasks such as booking management, issuing eDMs and stakeholder communications, financial reconciliation, and maintaining accurate data within the CRM system. Key responsibilities
  • Coordinate with event suppliers to ensure smooth delivery of RFDS engagements.
  • Provide logistical and administrative support for events and activations.
  • Build and maintain relationships with internal and external stakeholders.
  • Support the major events, including sponsor and stakeholder coordination.
  • Manage guest attendance and process bookings via The Raiser’s Edge CRM.
  • Respond to stakeholder enquiries promptly and professionally.
  • Prepare and send donor and stakeholder EDMs and digital communications.
  • Produce reports, invoices, data files, and other event related documentation.
  • Work occasional evenings and weekends during peak event periods.
  • Travel to RFDS locations as required.
To be successful, you will need:

Required:

  • Strong organisational skills and the ability to manage multiple tasks and deadlines.
  • Excellent written and verbal communication skills for engaging with diverse stakeholders.
  • High attention to detail across documentation, data entry, and correspondence.
  • Confidence using Microsoft Office and CRM systems, with a willingness to learn new tools.
  • 1–2 years’ experience in community engagement, fundraising, events, marketing, or a related field.
  • Experience coordinating events, campaigns, or community activations.
  • Experience working with a range of stakeholders including fundraisers, agencies, volunteers, and partners.

Desirable:

  • Tertiary qualification in Communications, Marketing, Event Management, Public Relations, or similar.
  • Experience in fundraising or community events within the not-for-profit sector.
  • Experience using CRM systems, ideally The Raiser’s Edge and Ortto.
