Join our Litigation group as a Practice Assistant in the San Francisco office. This hybrid role requires a mix of in‑office collaboration and remote work, with designated office days that may evolve to meet firm needs.
General DescriptionThe Practice Assistant provides high‑quality administrative support to a team of lawyers and professionals, efficiently meeting firm and client needs. The position is hybrid, with specified in‑office days, and supports a fast‑paced litigation environment.
Key Responsibilities And Essential Job Functions- Communicate professionally with clients, lawyers, and staff via email, telephone, and in person; manage routine client questions and route calls appropriately.
- Create, draft, format, edit, proofread, and manage Word documents, Excel spreadsheets, and PowerPoint presentations; draft routine business correspondence under lawyer supervision.
- Schedule domestic and foreign travel using the firm travel system, including flights, hotels, and car rentals.
- Process reimbursements, invoices, and check requests promptly.
- Compile conflict check information, open new client matters, and draft engagement and scope letters; ensure accurate and complete document submission.
- Apply client‑specific billing guidelines consistently to provide compliant and cost‑effective invoicing.
- Open, prioritize, and distribute mail and coordinate mailings, copying, scanning, and printing.
- Enter and manage work requests in the firm’s workflow tool, meeting deadlines.
- Maintain electronic and paper filing, photocopying, scanning, and document distribution; coordinate with other administrative departments as needed.
- Perform file maintenance and save documents to the document management system.
- Assist with time entry, billing, and collection support for lawyers.
- Operate independently to complete complex assignments accurately and timely; produce high volume work assignments.
- Perform routine clerical duties for non‑legal departments as needed.
- Support special projects and duties as assigned.
- General knowledge of litigation practices and procedures, including court systems (district, small claims, circuit, federal, appellate).
- Expertise with PACER and other electronic filing systems in state and federal courts.
- Experience with docketing, calendaring, and centralized docketing software.
- Knowledge of court procedures and ability to locate Local Rules and Judge’s Standing Orders.
- Experience processing summonses, subpoenas, discovery requests, and related documents.
- Proficiency in preparing pleadings, discovery materials, memoranda, and other legal documents.
- Experience with Bates labeling, redacting documents, and scheduling court depositions and hearings.
- Advanced knowledge of Microsoft Office Suite and Adobe.
- Experience with document management systems and electronic signature software.
- Proficiency in core legal administrative functions and advanced technical and communication skills.
- Ability to thrive in a fast‑paced environment and coordinate multiple competing tasks.
- Superb attention to detail, grammar, punctuation, and clear articulation of ideas.
- Ability to work independently with little supervision.
- Effective interpersonal and communication skills.
- Strong work ethic and commitment to confidentiality.
- Bachelor’s degree.
- 4–5 years of experience supporting lawyers and paralegals with administrative or client‑related tasks (preferred).
- Ability to sit or stand for extended periods.
- Moderate to advanced keyboard usage.
- Ability to lift and carry up to thirty pounds.
