Job Title: Fleet Administrator
Reports To: Fleet Manager
FLSA Status: Non‑Exempt
Location: Shared Services Office, Irving, TX
SummaryThe Fleet Administrator will have significant interactions across the company with the Fleet Manager, operations managers, general managers, suppliers and service providers. The Fleet Administrator will assist the Fleet Manager in maintaining a robust, efficient, and professional fleet across all operating companies of Meriton, as well as overseeing the equipment and vehicle operations. The Fleet Administrator will need to be analytical and multi‑tasking to thrive and succeed in this role.
Establishes and maintains partnerships with a cooperative and positive attitude toward customers, vendors, employees, and the company.
- Maintain a professional relationship with key suppliers and service providers to facilitate costs and services in the best interest of the company.
- Utilize fleet software to track the history of equipment inventory and costs.
- Support compliance and fleet maintenance in a cost‑effective and safe manner.
- Sustain supplier challenges as necessary.
- Administer the acquisition and disposal of company vehicles.
- Maintain accurate inventories of vehicles, registrations, and titles.
- Report routine problems involving vehicles and equipment to management.
- Coordinate vehicle inspection, licensing, titles, and insurance paperwork.
- Complete vehicle inspections and document results.
- Monitor maintenance schedules and maintain accurate inventory of vehicles.
- Perform other duties and responsibilities as assigned.
- Demonstrate interpersonal, organizational, and communication skills.
- Apply analytical thinking to fleet challenges.
- Associate’s degree preferred.
- Minimum 2 years of administrative experience.
- Fleet or fleet‑coordination related experience preferred.
- Knowledge of fleet management software helpful.
- Effective oral and written communication skills.
- Self‑starter and change agent with a process orientation; able to work in a team environment.
- Proficiency in Microsoft Office Suite, including Outlook, Excel, PowerPoint and Word.
The noise level in the work environment is usually moderate. The workplace is in a corporate office environment and the temperature is usually moderate. The position’s primary office is the Shared Services, Irving, TX office; however, telework or work at home, on the road, or in a satellite location for portions of the workweek may occur, depending upon project needs and requirements in coordination with your direct supervisor and/or most senior leader of your department.
Must be able to travel overnight up to 10% of the time.
Must be able to walk, bend, stand, and reach constantly during a workday. The employee must regularly lift and/or move up to 25 pounds.
