The OpportunityWe are looking for an experienced and dynamic Executive Assistant to work with our CEO, Karim Leduc, this role, you will become an extension and trusted right hand, the go-to person for organization and process optimization. This position is ideal for someone seeking their next challenge in management and administration within a highly dynamic and exciting environment. This is a remote-friendly role with additional benefits and opportunities to work at the heart of our leadership team.
- Calendar and inbox management – Prioritize, plan, and coordinate complex schedules and manage a high volume of emails
- Executive decision-making support – Act as a trusted partner to the CEO, provide informed advice, and make executive-level decisions when delegated
- Representation in meetings – Attend meetings on behalf of the CEO and ensure follow-up on action items
- Project research and preparation – Conduct research and prepare high-level summaries and briefs for strategic initiatives
- Travel coordination – Organize flights, accommodations, and transportation for the CEO and occasionally other executives
- Administrative excellence – Manage all administrative tasks efficiently, including expense reports and document management
- Technology and automation – Use AI tools, scheduling software, and automation solutions to optimize processes
- Bilingual communication – Draft and proofread documents in French and English; communicate with clients across North America
- Presentation support – Help prepare presentations, talking points, and speeches as needed
- Travel (occasional) – Some travel may be required for meetings, events, or conferences
- Experience:
6 to 10 years as an Executive Assistant or Personal Assistant at the senior executive level, with strong preference for corporate experience over startup experience - Languages:
Fully bilingual in French and English (spoken and written); ability to communicate with clients across North America - Technology:
Proficient with productivity tools (Google Workspace), AI-enabled scheduling and automation tools, and project management software - What kind of person you are:
