Job Summary /PurposeThis position will coordinate all administrative functions and provide multifaceted administrative support to department management and staff. Responsibilities typically include organizing, editing and formatting filings, scheduling appointments, distributing incoming and outgoing mail, maintaining the calendar, making travel arrangements, arranging meetings, running and tracking projects and programs associated with senior management administrative support, producing a variety of reports and presentations using word processing, graphics and spreadsheet software, preparing or updating related reports and records, and developing or participating in special projects.
Job Duties /Responsibilities- Provide administrative support to Contact Center Managers.
- Answer multiple phone lines and provide backup support for other administrative staff.
- Monitor email communications and maintain manager's calendars; schedule events, travel arrangements, departmental meetings, conference calls, meeting facilities, and catering.
- Prepare formal correspondence, routine documents, and presentations with minimal direction. Prepare spreadsheets, presentations and interoffice correspondence including copies.
- Handle multiple assignments, work within deadlines, and maintain confidentiality of department and company information.
- Be proactive in forwarding work issues to the appropriate managers or supervisors.
- Maintain an organized filing system and support compliance with record retention policies.
- Process expense reports and input employee worked hours into payroll system.
- Communicate with internal and external business contacts/consultants and maintain contact lists.
- Coordinate with executive and senior administrative staff to handle requests and queries from supervisors and/or managers.
- Assignments may involve overtime hours; regular attendance essential; remote work not possible.
- Provide general support to visitors.
- Perform various additional duties as requested by senior management.
- Act as records custodian.
Minimum education:
Typically requires vocational training, apprenticeships or equivalent experience in a related field. Four‑year degree not required.
Experience:
- Assistant‑Administrative I (S): 0‑2 years related experience.
- Assistant‑Administrative II (S): 2‑4 years related experience.
- Assistant‑Administrative III (S): 4‑6 years related experience.
- Assistant‑Administrative IV (S): 6‑8 years related experience.
Must be able to work independently with minimal direction and work in teams.
Must be EEI SASS test recommended.
