U.S. Sponsorship Assistant

- Education – Sponsorship of students from Primary, Secondary, and Advanced education
- Empowerment Programs – Livestock empowerment programs & small business grants
Reporting to the U.S. Program Leader, the U.S. Sponsorship Assistant will assist the leader in overseeing Hearts & Hope’s programs in Uganda. The role works closely with the Hearts & Hope team in Uganda to assist in the management of the sponsorship program and to ensure maximum impact and benefit for those we serve.
Goals- Coordinate with Sponsorship Coordinators in Uganda on sponsor student selection.
- Coordinate sponsorship program communication and engagement.
- Coordinate sponsorship packet standards, collection, and delivery with support from Volunteer Coordinator.
- At directions of Program Leader, coordinate purchase and delivery of sponsor uniforms and other scholastic supplies in Uganda.
- Track and report sponsorship roster changes, trends, etc.
- Track sponsorship student enrollment status and compliance with program guidelines and policies.
- Take action and elevate at‑risk or absentee students and work with Sponsorship Coordinators to bring to resolution.
- Update and maintain Sponsorship Database platform with content received from Sponsorship Coordinators.
- Export/Transform/Import data from Sponsorship Database platform for mass updates.
- Communicate to Sponsors regarding updates on their student, resolution of delinquent sponsorship payments, etc.
- Audit Sponsor and Student records across platforms to ensure they are accurate and in sync.
- Perform program‑specific communication to Sponsors (e.g., mailings, welcome packets, etc.).
- Support sponsorship drives to increase student sponsor ships aligned with our mission in Uganda.
- Ensure sufficient inventory of sponsorship collateral & materials for sponsorship drives and coordinate with Marketing Lead to replenish.
- Ensure sufficient inventory of materials for packet supplies.
All candidates should have communication, teamwork, and multi‑tasking skills.
Demonstrable experience and qualifications include:
- College degree or related experience preferred, with emphasis in non‑profit management or business/finance.
- Experience problem solving and successfully delivering results with limited resources or short timelines.
- Experience working in a non‑profit or small team environment.
- Passion, integrity, and mission‑minded.
- Ability to be self‑directed and independent worker in a small team environment.
- Supportive and positive team member.
- Computer proficiency – expert in Microsoft Office, Google Mail, Google Drive, etc.
- Experience with ETL – ability to analyze, compare, audit, and Export/Transform/Load data sets from Microsoft Excel to student sponsorship databases/platforms.
- Action‑oriented, adaptable, and innovative approach to problem solving.
- Strong written and verbal communication skills – a persuasive and passionate communicator with excellent interpersonal skills.
- Experience with online database platforms (used in sponsorship management) – Podio, Smart Sheets, Air Table, other, etc.
This position is a part‑time role, 20 to 30 hours per week, with hourly compensation of $18 to $20. There is an opportunity to expand to a full‑time, salaried position. The position requires working in the Hearts & Hope office up to 3 days a week with flexibility to work from home with approval from the Program Leader or Executive Director.
Office hours are flexible but should be in the office during core hours as defined by the team. Evening meetings may be required, to be scheduled well in advance.
