Administrative Assistant Role

The Administrative Assistant will support daily office operations and provide administrative support to the entire office team in a fast‑paced CPA firm environment. This role requires someone who is highly detail‑oriented, dependable, organized, and capable of working independently while managing multiple responsibilities.

Key Responsibilities
  • Answering and directing incoming phone calls professionally while taking accurate messages
  • Drafting and sending client communications with professionalism and attention to detail
  • Managing the mailing of confidential and sensitive documents securely and on time
  • Entering, updating, and maintaining accurate data within Excel and internal systems
  • Cross‑checking information for accuracy and completeness
  • Supporting receivables, deposits, and administrative workflows
  • Maintaining organized files, records, and office documentation
  • Ensuring office supplies are stocked and coordinating ordering as needed
  • Providing administrative support to multiple team members across the office
  • Working independently while maintaining strong communication and follow‑through

Administrative Assistant Background Profile
  • High School Diploma or equivalent required
  • At least 1 year of administrative support experience
  • Strong attention to detail and accuracy required
  • Must be computer literate and proficient with Microsoft Office Suite, including Excel
  • Ability to work independently and manage responsibilities proactively
  • Strong organizational, communication, and follow‑through skills
  • Flexible, self‑motivated, dependable, and able to prioritize tasks efficiently
  • Professional verbal and written communication skills
  • Prior experience in accounting, CPA firm, or professional services environment preferred
