The Administrative Assistant is responsible for both receptionist services and administrative duties for the IRC Arizona offices.
Major Responsibilities Front Desk and Visitor Support- Welcome and greet visitors arriving to the office
- Help guide clients and visitors to the appropriate staff member or service
- Support open office hour flow and redirect visitors as needed
- Follow visitor logging procedures when required by office safety protocols
- Answer incoming calls and route them to the appropriate staff member or program
- Take and relay messages when staff are unavailable
- Assist with updates to staff phone extensions or voicemail changes when needed
- Distribute incoming mail
- Coordinate outgoing mail when needed
- Monitor incoming packages and notify staff of deliveries
- Monitor general functionality of office equipment such as printers, copiers, and scanners
- Refill paper or toner when needed
- Notify leadership of any equipment issues so repairs can be coordinated
- Order and maintain stock of needed office supplies
- Help monitor conference and client rooms usage and scheduling
- Support keeping shared spaces organized and ready for use
- Follow office safety procedures when needed
- Notify leadership if any safety concerns arise
- Provide general administrative support that helps maintain smooth office operations
Position
Reports to:
Deputy Director, Operations
- High school diploma required; some university education preferred.
- Fluent in English with strong verbal and written communication skills.
- Proficiency in language(s) spoken by IRC’s clients is desired; including Spanish, Arabic, Dari, Farsi, and/or Pashto.
- Demonstrated proficiency with Microsoft Office programs including Excel, Word and Outlook
- Must be well‑organized, reliable, professional, detail‑oriented, and flexible.
- Desire to work as a team member and in a multicultural workplace.
- Maintaining good, effective communication with customers, visitors, and staff
- In accordance with Arizona State Law, must possess or be eligible to receive a fingerprint clearance card.
- A combination of standard office environment, remote work, and ‘field’ time within the service delivery area to perform the above outlined responsibilities.
- Occasional domestic (non‑local) travel required; up to 10%.
