Location: Hingham, MA (In-office 4 days/1 day remote)
Compensation: $67,000-$76,000 base range + Individual (10%) & Team Bonus (~8%) plus benefits.
Our client, a highly regarded and growing financial services firm in Hingham, MA, is seeking a proactive and detail-oriented Operations Assistant to join their team. This is a great opportunity for someone who enjoys being at the center of a fast-paced office, supporting leadership, enhancing the client experience, and helping a team run seamlessly. The role is primarily in-office (Monday–Thursday, work from home Fridays) and offers strong exposure to both operations and client-facing work within a collaborative environment.
Key Responsibilities Executive & Calendar SupportAct as a key partner to leadership by managing complex calendars, scheduling meetings, and ensuring all logistics are handled seamlessly for both in-person and virtual interactions.
Client Experience & CRM ManagementSupport client communications through scheduling, follow-ups, mailings, and gifting, while maintaining accurate and organized records within the CRM system.
Office OperationsHelp keep the office running smoothly by managing mail, supplies, expenses, and day-to-day administrative needs, ensuring a polished and efficient environment.
Meeting, Event & Travel CoordinationOwn the coordination of meetings, team events, and travel logistics, creating a seamless experience for both internal teams and clients.
Marketing & Team SupportCollaborate with marketing and external partners on initiatives, social media efforts, and special projects that support firm growth and visibility.
Operational Support & ProjectsAssist with onboarding new hires, maintain organized file systems, and provide support across operations and client service as needed.
Qualifications- Bachelor’s degree or 2–3 years of experience in administrative support, operations, or office management
- Strong proficiency with Microsoft Office and general office technology
- Highly organized with strong attention to detail and ability to manage multiple priorities
- Proactive, self-starter who takes ownership and thrives with minimal oversight
- Strong communication skills and a client-first mindset
- Ability to commute to the Hingham office four days per week
- Valid driver’s license and willingness to assist with occasional errands
- Team-oriented, flexible, and eager to learn and grow within the role
