SummaryThe Executive Assistant will assist high-level restaurant leadership while also managing essential administrative functions. They keep operations organized and efficient. The primary functions of this role are in support of the Board of Directors with a secondary focus on supporting senior management and general office management.
Essential Responsibilities and Opportunities- Administrative Tasks (60%)
- Support management with compliance documentation, licensing, and operational checklists, including assisting with public liability claims, workers’ compensation claims, audits, and employee insurance applications during open enrollment.
- Arrange and participate in internal meetings, including attending semi-monthly manager meetings, setting up rooms for meetings, handling customer reservation requests, note-taking during meetings, emailing, and assisting with filing.
- Support the planning and execution of marketing initiatives and events by working alongside managers in teams, including private party scheduling and YELP review replies.
- Assist with calendars and manage vacation time-off schedules for management.
- Arrange travel, itineraries, and logistics for food shows.
- Coordinate and manage office supply orders.
- Executive Tasks (40%)
- Manage and maintain the Board President’s calendar, including overseeing calendar reminders and scheduling internal and external meetings.
- Support preparing for meetings and presentations, organizing meeting logistics, post-meeting follow-ups, drafting emails and letter correspondence, and printing requests as necessary.
- Serve as an assistant to board committees, including scheduling and follow-up, coordinating preparation of agendas, packets, and maintaining meeting minutes.
- Bachelor’s degree or equivalent, combination of education, training, and experience.
- Minimum of five years’ experience as an Executive Assistant, Administrative Assistant, or similar support role.
- Strong interpersonal skills with the ability to build relationships with stakeholders, including staff and Board Members.
- Strong writing and analytical skills with the ability to synthesize and share information effectively.
- Ability to adapt to changing priorities and work effectively in a fast-paced environment.
- Ability to maintain composure, emotional intelligence, and customer service excellence under pressure.
- Self-starter who actively seeks opportunities and proposes solutions.
- Highly resourceful team player with the ability to be extremely effective independently.
- Proven ability to handle confidential information with discretion.
- Proficiency in Excel, Zoom.
