Overview

We are seeking an Operator/Executive Assistant to support the CEO of a fast‑moving venture. The role requires full calendar management, high‑profile relationship coordination, AI‑driven workflow optimization, and day‑to‑day operational support across both professional and personal domains.

Responsibilities
  • Full calendar management for the CEO across professional and personal commitments.
  • Business and personal travel coordination, including complex itineraries and last‑minute changes.
  • Email and communication triage: surfacing what matters, filtering what doesn’t.
  • Project tracking and task management across multiple tools and work streams.
  • Research, vendor coordination, and special projects as needed.
  • Investor, partner, and high‑profile relationship coordination (CRM, LP tracking, follow‑ups, gifting).
  • Podcast and content schedule coordination.
  • Customer service resolution, online purchasing, sourcing, and negotiation support.
  • Personal logistics, household coordination, wellness logistics, and occasional family travel or event support.
Qualifications
  • AI‑native fluency demonstrated; custom workflows, automations, and daily use of tools such as ChatGPT, Claude, Perplexity, Click Up Brain.
  • Zero‑onboarding readiness: orient quickly and contribute from Day 1.
  • Proactive, independent execution; anticipate needs and act before being asked.
  • Strong systems‑thinking: build infrastructure to improve workflow continuity.
  • Professional presence and communication skills; remote knowledge of Google Workspace, Slack, Click Up, 1

  • Executive presence: handle sensitive information with discretion, good judgment, and polished communication.
  • Experience supporting a high‑energy executive or founder is preferred.
