Overview

GGLD Lighting Design is an award-winning, six-person architectural lighting design firm. We collaborate with leading architects nationwide on high-profile projects, creating lighting environments that transform spaces and elevate the human experience.

We are seeking a highly organized, proactive, and entrepreneurial Studio Coordinator to play a central role in the success of our practice. This is a part-time, hourly, remote position; however, candidates must be based in the Chicago area and available to attend occasional in-person business development events.

This role is anticipated to be approximately 20+ hours per week (with flexibility based on workload), with a compensation range of $28–$35/hour, commensurate with experience. There is strong potential for this position to grow into a Studio Manager role as the firm continues to expand.

The Role

The Studio Coordinator is the operational backbone of GGLD—the go-to team member who ensures the studio runs seamlessly day-to-day. Acting as a liaison between Principals, design teams, and external collaborators, you bring structure, clarity, and momentum to everything we do.

This is a high-impact role for someone who thrives on ownership, anticipates needs before they arise, and believes that operational excellence is essential to design excellence. No task is too big or too small—you are equally comfortable refining systems as you are jumping in to support immediate needs.

What You Will DoStudio Operations & Performance
  • Create the structure and support that enables designers to do their best work
  • Continuously refine and improve operational processes and standards
  • Track action items and collaborate with leadership to ensure follow-through
  • Coordinate weekly studio meetings, including agendas, content, and post-meeting follow-ups
Project & Administrative Coordination
  • Manage project timelines and deadlines within Monograph and team calendars
  • Provide calendar and scheduling support for studio leadership
  • Coordinate meetings with clients, collaborators, and internal teams
  • Support travel, expenses, and professional credential tracking for staff
  • Serve as the studio’s go-to resource for internal processes and tools
People & Culture Support
  • Assist with onboarding, interview coordination, and new hire setup
  • Support performance reviews and professional development initiatives
  • Help maintain a positive, organized, and connected studio environment
Marketing & Business Development
  • Identify opportunities to strengthen client relationships and support follow-up
  • Contribute to proposals, presentations, and marketing collateral
  • Assist with research, project data tracking, and general marketing support
  • Provide operational insight that supports strategic decision-making
Qualifications
  • 2+ years of experience in an operations, coordinator, or administrative role (design industry preferred)
  • Exceptional organizational skills and attention to detail
  • A systems-oriented mindset with a drive for continuous improvement
  • Strong ability to prioritize, take ownership, and follow through
  • Experience managing multiple deadlines and workflows simultaneously
  • Confident, clear communicator with strong interpersonal skills
  • Based in the Chicago area with flexibility to attend occasional in-person events
  • Proficiency in Microsoft Office (especially Outlook & Excel): experience with Monograph and Quick Books preferred
  • Working knowledge of Bluebeam and Adobe Creative Suite (InDesign, Photoshop)
  • Excellent written and verbal communication skills
