Our client is seeking a highly organized, proactive, and detail‑oriented Remote Administrative Assistant to provide comprehensive support in a fully remote capacity.

Key Responsibilities:

  • Manage and maintain executive and team calendars, scheduling meetings, appointments, and travel arrangements.
  • Coordinate and prepare agendas, materials, and minutes for meetings.
  • Handle incoming and outgoing communications, including emails, phone calls, and mail, ensuring timely and professional responses.
  • Prepare, proofread, and edit various documents, reports, presentations, and correspondence.
  • Organize and maintain electronic and physical filing systems for easy access to information.
  • Conduct research on various topics as requested by management.
  • Assist with onboarding processes for new team members, including distributing necessary information and setting up access.
  • Manage and order office supplies and other necessary resources for the remote team.
  • Provide support for special projects and initiatives as assigned.
  • Maintain confidentiality of sensitive information.
  • Act as a liaison between different departments and external contacts.
  • Troubleshoot basic IT issues or, when necessary, refer them to the appropriate support team.
  • Optimize administrative processes for greater efficiency and effectiveness in a remote setting.
  • Ensure all administrative tasks are completed accurately and on time.
Qualifications:
  • High school diploma or equivalent;
    Associate’s or Bachelor’s degree preferred.
  • Proven experience (2+ years) as an Administrative Assistant, Virtual Assistant, or similar support role.
  • Exceptional organizational and time‑management skills with the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools (e.g., Zoom, Microsoft Teams, Slack).
  • Experience with calendar management and online scheduling tools.
  • Ability to work independently with minimal supervision in a remote environment.
  • Strong attention to detail and accuracy.
  • Proactive and resourceful problem‑solving abilities.
  • High level of professionalism and discretion.
  • Comfortable with technology and adapting to new software and platforms.
Remote Administrative Coordinator

Responsibilities:
  • Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements.

  • Coordinate virtual meetings, including sending invitations, preparing agendas, and taking minutes.
