Position Summary
We are seeking a highly organized and people-oriented Office Coordinator to support the daily operations of our vacation rental management team. This role is ideal for someone who thrives in a collaborative, fast-moving environment while maintaining strong attention to detail and accuracy. You’ll play a central role in coordinating communication between owners, guests, vendors, and internal teams; ensuring tasks are completed efficiently and nothing falls through the cracks.
Success in this position comes from balancing responsiveness with precision. You’ll work within established systems and processes while managing multiple priorities, building strong relationships, and helping the team operate smoothly across all properties. While the role is primarily administrative and remote, it also offers variety through occasional field coordination and real-time problem solving.
Key ResponsibilitiesCommunication & Relationship Management
- Serve as a central communication hub between owners, guests, vendors, and internal teams
- Respond to inquiries with clarity, professionalism, and empathy
- Build strong working relationships and ensure consistent follow-through
- Monitor inspection, maintenance, and pool reports and coordinate next steps
- Track tasks across teams and ensure timely completion
- Maintain accurate systems, calendars, and operational data
- Assist with onboarding new properties into the portfolio
- Coordinate vendor setup, documentation, and readiness
- Ensure listings, inventories, and property details are accurate and up to date
- Support guest services with issue resolution and coordination
- Provide proactive communication and updates to homeowners
- Help ensure smooth arrivals, departures, and overall guest experience
- Provide occasional on-site support to verify work or assist with coordination
- Assist with urgent operational needs when required
- Support overall team efficiency and day-to-day administrative needs
- 1+ years minimum experience in vacation rentals, property management, or hospitality
- Familiarity with property management or reservation systems
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- Ability to multitask and prioritize in a fast-paced environment
- Customer service experience
- Comfortable coordinating with multiple vendors and team members
- Basic computer skills and ability to learn property management systems
- Reliable transportation for property visits and field support
- Flexibility and willingness to adapt to changing priorities, including urgent or last‑minute needs
- This is a 1099 contractor role
- Remote role
- 5 days per week
- Every other weekend required
- Must be local to Orlando, Florida area
- 2 weeks PTO per year
- Car and Gas allowance when using personal vehicle for property visits
- Hours vary based on vacation rental calendar
