Office Administrator/ Coordinator, Virtual Assistant/ Remote Admin
Position Summary
The receptionist is responsible for providing guests with a world‑class first impression of the facility, managing and coordinating visitors, and continuously improving the visitor experience.
Responsibilities- Facilitate and coordinate guests and scheduled appointments.
- Answer the main phone line – route calls, take messages, and manage initial communications.
- Perform filing, copies, printing, collating and other administrative tasks as assigned.
- Assist potential candidates in the online application process.
- Instruct and coordinate the pre‑employment process for potential new team members.
- Initiate phone screens for external applicants.
- Assist with additional duties or special projects requested by the TMX Manager.
- High school diploma or equivalent preferred.
- Computer literate in Word, Excel, PowerPoint, Outlook.
- Strong interpersonal skills; clear and positive communication with internal and external customers, peers, managers and the home office.
- Ability to handle and maintain highly confidential information.
- Minimum of two (2) years relevant experience.
- Strong organizational skills and ability to coordinate multiple projects simultaneously.
Must be able to consistently operate a computer and office productivity equipment such as telephone, calculator, copy machine, computer printer, etc. Must be able to communicate via phone, email, and in person, and exchange accurate information with others. Work primarily involves sitting and standing, with occasional tasks in a non‑climate‑controlled environment.
