Job Description

Position SummaryThis position functions as a first‑line supervisor overseeing administrative support staff and serves as a coordinator to the Centralized Intake director. Responsibilities include overall day‑to‑day supervision such as assigning work and reviewing work, performing advanced secretarial assignments, assisting the director in managing day‑to‑day activities, serving as liaison to staff and the director, preparing and editing materials for the director’s decisions, interpreting and disseminating information, and coordinating office activities.
The role also assists the director with scheduling of meetings/events and entering them into the calendar. Highly confidential matters for staff and management are handled by this position.
- Supervise and manage administrative support staff.
- Assign and review work assignments.
- Perform advanced secretarial tasks and coordinate with the Centralized Intake director.
- Act as liaison between staff and the director, preparing and editing materials for director decisions.
- Assist in scheduling meetings and events, entering them into the calendar.
- Handle highly confidential matters for staff and management.
Employees will be provided computers to perform state work. Phones may be provided for necessary communications. If working remotely, employees must provide a secure work location that allows privacy and prevents distractions, a high‑speed internet connection of at least 25 Mbps download and 5 Mbps upload, and suitable lighting, furniture, and utilities.

Education and Experience
- Educational level typically acquired through completion of high school.
- Six years of office experience involving administrative support practices, including:
- Three years equivalent to advanced (E8) level administrative support work, Secretary E8, or Legal Secretary E8.
- Two years equivalent to a Secretary 9, Legal Secretary 9, or Senior Executive Management Assistant 9.
- Or one year equivalent to a Division Head Legal Secretary 10 or Executive Secretary E10.
The office location for this position is 3040 W. Grand Blvd., Detroit, MI. Based on operational needs and within established limits, remote work and alternate or hybrid work schedule requests may be considered. Candidates who are approved to work remotely or in a hybrid schedule must complete that work within Michigan. Candidates are expected to confirm work location and schedule at the time of interview.
