Salary
$17.66 hourly, $3,061.07 monthly, $36,732.80 annually
The Office Assistant II is responsible for general and specialized clerical duties including filing, reception, form processing, record maintenance, mail, typing, and data entry. The role involves obtaining and comparing information related to department records, programs, and services, and performing initial applicant screening when required. The work is performed under general supervision and requires independent judgment in applying procedures and selecting resources.
Responsibilities- Address complaints and explain regulations to customers or the public.
- Respond to inquiries regarding departmental functions, services, policies, and procedures.
- Obtain information from customers, visitors, or callers to determine appropriate resources, actions, documents, or staff referrals.
- Explain the proper use of forms and documents.
- Prepare items for mailing and sort and distribute incoming mail according to established guidelines.
- Operate a multi‑line telephone system, including answering calls, transferring calls, and taking messages.
- Schedule customer appointments and maintain staff schedules.
- Compose correspondence, reports, memos, and other documents.
- Review and process forms/documents in accordance with guidelines.
- Monitor and update manual or electronic files.
- Operate standard office equipment.
- Compile information to respond to questions or address issues.
- Verify accuracy and completeness of submitted forms or applications.
- Operate automated or department‑specific computer systems.
- Maintain accurate department and customer records.
- Perform initial screening of applications for departmental services.
- Perform related duties as assigned.
Knowledge of general office functions, procedures, equipment, filing systems, department programs and services, English grammar, spelling, punctuation, word processing, spreadsheet, database, email, calendaring, and automated systems.
Ability to explain policies and regulations, analyze situations and demonstrate good judgment, quickly and accurately enter and retrieve data, communicate effectively orally and in writing, interact with diverse individuals, work cooperatively in a team, identify and correct inaccuracies, listen attentively and understand oral information, and prioritize, plan, and organize work.
One (1) year of full‑time experience performing clerical duties in an office environment is required.
Additional Requirements- A valid driver’s license is required at the time of interview. Candidates without a driver’s license due to disability will be reviewed on a case‑by‑case basis.
- Positions require pre‑employment screening, including background checks and fingerprinting. Background checks are required and must be repeated every five years.
- Lake County offers flexible office hours (Monday‑Friday, 6:30 am‑7:00 pm) and remote work from home may be available with departmental approval.
