We are seeking a bilingual (Hindi & English) Executive Assistant to provide comprehensive support to a senior executive with a demanding international schedule. The successful candidate will be trusted to work from home but must be residing in Dubai as you may be required to occasionally attend the office. You should also possess experience of any of the following tools
- Asana, Notion or Trello. The successful candidate will act as a trusted support, managing both business and personal affairs while ensuring seamless coordination between the Dubai office and Headquarters in Hyderabad, India. This role requires an experienced professional who thrives in a fast‑paced environment, demonstrates absolute discretion and confidentiality, and possesses outstanding communication skills in both English and Hindi.
- Manage complex and ever‑changing calendars across multiple time zones.
- Coordinate meetings, appointments, conference calls, and business engagements.
- Prioritise schedules and ensure efficient time management for the executive.
- Prepare agendas, briefing packs, and meeting materials.
- Arrange luxury international travel, including private jet bookings, commercial flights, accommodation, ground transportation, and VIP services.
- Prepare detailed travel itineraries and contingency plans.
- Serve as a key liaison between the Dubai office, Headquarters in Hyderabad, and international stakeholders.
- Work closely with an additional Executive Assistant based in India to ensure seamless global support coverage.
- Manage all administrative tasks using Google Workspace (Gmail, Calendar, Docs, Sheets, Drive, Meet).
- Prepare professional presentations using PowerPoint.
- Maintain reports, trackers, and data analysis using Excel.
- Process and track expenses, invoices, and reimbursements.
- Track deadlines, action items, and deliverables across teams and regions.
- Oversee household administration and coordinate with domestic staff, including household help and service providers.
- Manage maintenance schedules and household‑related requirements.
- Coordinate family insurance renewals, documentation and maintain records for personal and family documents.
- Coordinate personal travel, family holidays, entertainment bookings, and restaurant reservations.
- Fluent in both Hindi and English.
- Currently based in Dubai, UAE.
- Minimum 3+ years’ experience as an Executive Assistant.
- Advanced proficiency with Google Workspace.
- Strong PowerPoint and Excel skills.
- Experience coordinating international travel, preferably including luxury and private aviation arrangements.
- Proven experience managing senior‑level stakeholders and high‑profile clients.
- Experience using Asana, Notion, or Trello for project and task management.
- Ability to work independently and remotely with minimal supervision.
- Highly professional and exceptionally well‑presented.
- Discreet, trustworthy, and capable of handling confidential information.
