Description:
Our team is seeking a highly organized and proactive Executive Assistant (EA) to support the Executive Vice President. This role is critical to keeping the organization operating efficiently and ensuring leaders stay focused on high‑value work. The ideal candidate is detail‑oriented, adaptable, and thrives in a fast‑paced, collaborative environment. This position spans executive support, internal coordination, process improvement, and cross‑functional team enablement.

- 3–5+ years of experience in an executive assistant, administrative, or operations support role
- Proficiency in Microsoft Word and Excel
- Strong analytical thinking and problem‑solving skills
- Experience supporting leadership teams in a professional services, engineering, or construction environment (preferred)
- A hybrid virtual/remote work environment

- Learn Synergy’s mission, values, leadership structure, and executive support expectations
- Be paired with an Executive Assistant Trainer who will guide you in learning the Synergy EA way
- Gain access to core systems and tools for calendar, inbox, travel, and expense management
- Shadow your EA Trainer to observe executive workflows, priorities, and communication standards
- Begin supporting calendar and inbox management with review, coaching, and feedback
- Build familiarity with Synergy frameworks such as delegation, prioritization, and the Ideal Work Week
- Independently manage executive calendar, inbox, travel arrangements, and expenses with consistency
- Anticipate scheduling needs, prioritize meetings, and resolve conflicts proactively
- Apply delegation and prioritization frameworks to help protect executive focus and time
- Establish a strong communication cadence with the Executive and EA Trainer
- Reduce Executive involvement in routine administrative tasks through trusted execution
- Consistently meet standards for accuracy, follow‑through, confidentiality, and professionalism
- Support proposal development team with coordination, document preparation, and submission management
- Operate as a trusted partner to the Executive and leadership team with minimal oversight
- Own recurring Executive workflows and reporting cycles with confidence and reliability
- Contribute to improving internal systems, documentation, and cross‑team communication
- Support leadership initiatives, company events, and planning cycles as needed
- Build strong working relationships across operations, sales, and leadership teams
