Role Overview

This role supports the daily operations of Job Duck by ensuring administrative processes run smoothly and efficiently. The Executive Administrative Assistant plays a key role in managing schedules, organizing communications, and maintaining structure across day-to-day activities. This position is ideal for someone who enjoys keeping things organized, anticipates needs before they arise, and takes pride in supporting others through reliable administrative execution.

The role contributes directly to productivity, client satisfaction, and overall operational flow. A proactive and detail-focused individual will thrive in this environment.

Schedule

Monday to Friday from 9:00 AM to 5:00 PM EST (USA)

Responsibilities
  • Ensuring follow-ups and tasks are completed accurately and on time
  • Assisting with coordination of internal workflows
  • Maintaining organized records and documentation
  • Supporting basic administrative and operational tasks
  • Managing scheduling and calendar coordination
  • Responding to client inquiries in a timely and professional manner
  • Handling email inbox management and client correspondence
Qualifications
  • At least one to two years of experience in administrative roles
  • Background in engineering, architecture, logistics, or law is preferred
  • Strong organizational skills
  • Structured and methodical working style
  • Proactive mindset with the ability to anticipate needs
  • Time management and prioritization skills
  • Ability to manage multiple tasks simultaneously
  • Professional and client-focused communication
  • Comfort working independently in a remote environment
  • Reliable computer setup (laptop/PC, headset, stable internet min. 10 Mbps download / 5 Mbps upload)
  • Quiet, distraction-free remote work environment
