Job Summary

Graduates of the Faculty of Management (FoM) are leaders and managers in the business sector, public sector, and civil society who live the Faculty’s vision of managing for the betterment of society. The Faculty has been recognized for its innovative, values-based approach to management education and research. Management Career Services (MCS) provides work-integrated learning opportunities and career education for Corporate Residency MBA, Master of Public Administration, Bachelor of Commerce Co-op, and Bachelor of Management programs students.

Reporting to the Operations Manager, the Recruitment and Operations Liaison (ROL) supports Management Career Services by coordinating recruitment activities for employer partners and students through the my Career system. The role is responsible for processing job postings and work-term records, scheduling interviews, facilitating job offers, ensuring accurate recruitment data and managing incoming/outgoing communications. The position also provides administrative and reporting support to ensure efficient delivery of MCS services and operations.

Key Responsibilities

  • Process employer accounts, job postings, interview requests and work-term records in the my Career system, ensuring data accuracy and compliance with program guidelines.
  • Review and triage work term and graduate job opportunities, approving or escalating them based on recruitment criteria and established hiring standards.
  • Coordinate and schedule work-term interviews, including booking rooms, arranging virtual sessions, and managing interview logistics.
  • Facilitate job offers between employer partners and students, including communication, record updates, and outcome tracking.
  • Manage departmental communications and recruitment-related inquiries through shared inboxes, ensuring timely responses and follow-up.
  • Maintain recruitment data integrity and support reporting, system updates, audits, administrative projects and operational improvements for MCS services.
  • Note

    The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work from within Nova Scotia) as agreed by all parties based on operational requirements and university guidelines.

    Required Qualifications

  • Completion of a two-year post-secondary diploma in Business Administration/Office Administration/Information Management, or a related field, combined with a minimum of three years of related administrative or coordination experience (or an equivalent combination of education and experience).
  • Advanced proficiency in Microsoft Office applications, including Outlook, Word, and Excel.
  • Experience using advanced Excel and Outlook features such as pivot tables, conditional formatting, mail merges, filters, rules, macros, and basic data visualization.
  • Strong technical aptitude with the ability to quickly learn and effectively utilize customized database systems.
  • Excellent customer service, written and verbal communication, and interpersonal skills, with a high level of professionalism.

  • Familiarity with co-operative education or work-integrated learning environments and experience working in academic settings.
  • Experience supporting or engaging diverse student populations with an understanding of their needs.
  • Experience using Orbis Communications career/co-op portal or similar management systems.
  • Interest in or proficiency with automation tools and generative AI technologies.
