Operations Coordinator

Job Description

We are seeking a dedicated and detail-oriented Operations Coordinator to join our team. This role involves maintaining and updating trackers, organizing data for reports, and supporting various operational functions. You will collaborate cross-functionally to streamline workflows, manage projects, and provide excellent member and customer support.

Responsibilities

+ Maintain and regularly update trackers and reports to reflect current project status, team activity, and key metrics.

+ Compile and organize data for weekly reports, leadership updates, and business reviews.

+ Maintain organized systems for files, documentation, and internal resources.

+ Track operational metrics and proactively flag missing, inconsistent, or at-risk data for follow-up.

+ Identify opportunities to streamline recurring workflows and suggest process improvements.

+ Maintain and update  boards, including task tracking, status updates, and deadline management.

+ Track onboarding and offboarding activities to ensure all required steps are completed on time.

+ Assist in planning and coordination of company meetings, including weekly business team meetings and national meetings.

+ Collaborate cross-functionally to support day-to-day operational requests and coordination needs.

+ Provide logistical and administrative support for meetings, including scheduling, calendar management, and preparation of materials.

+ Provide administrative support to the finance team, including tracking expenses, compiling receipts, and submitting for approval.

+ Order merchandise and support basic vendor coordination and relationship management.

+ Manage shared drives, internal communication tools, and other operational platforms to ensure accessibility and organization.

+ Monitor and respond to customer service inquiries via company chat and email in a timely and professional manner.

+ Route, escalate, and follow up on member inquiries to ensure resolution.

+ Track and document customer feedback for internal visibility and continuous improvement.

Essential Skills

+ Strong attention to detail and accuracy.

+ Highly organized with the ability to manage multiple tasks and deadlines.

+ Ability to follow established processes and complete tasks consistently.

+ Clear written and verbal communication skills.

+ Ability to gather, compile, and organize data from multiple sources.

+ Comfortable working across teams to collect information and respond to requests.

+ Proficiency in Google Workspace and Microsoft Office (Excel, Word, PowerPoint).

+ Experience using project management tools, preferably

+ Comfortable using AI tools to summarize information, draft content, and complete administrative tasks.

+ Ability to review AI-generated content for accuracy before use.

Work Environment

This position offers a 100% remote work environment, requiring availability for 20-30 hours per week during EST hours, Monday through Friday.

Job Type & Location

This is a Contract to Hire position based out of Hanover, MD.

Pay and Benefits

The pay range for this position is $20.67 - $25.48/hr.
