Job Title: Executive Assistant

Working Hours: US Hours (9am-5pm CST)

About the RoleA highly organised, proactive, and operationally minded Executive Assistant is sought to support a fast-paced leadership environment within a growing operational team.
This role is far more than traditional diary management. The successful candidate will act as a true right-hand support function, assisting with operational coordination, ticket tracking, communication flow, follow-ups, onboarding coordination, and workflow management.
The ideal candidate is highly organised, tech-savvy, proactive, detail-oriented, and able to “read the room” while managing multiple moving priorities with professionalism and urgency.
Key Responsibilities- Provide day-to-day executive and operational support
- Manage and track tickets, tasks, and workflow progress
- Coordinate communication between internal teams and onboarding specialists
- Follow up proactively on outstanding items and deadlines
- Assist with inbox and communication management
- Monitor operational workflows and escalate issues where needed
- Maintain organised records, notes, and task tracking systems
- Support scheduling, coordination, and administrative processes
- Provide regular updates and status communication proactively
- Assist leadership with operational follow-through and organisation
Requirements
- Bachelor's degree in Business Administration or a related field preferred.
- 3+ years of experience in an executive assistant or similar role.
- Previous experience as an Executive Assistant, Senior Administrator, or similar role
- Excellent verbal and written English communication skills
- Strong organizational and multitasking abilities
- High attention to detail and accountability
- Highly proactive with strong follow-through
- Comfortable asking clarifying questions and taking initiative
- Strong attention to detail and operational accuracy
- Tech-savvy with strong computer literacy
- Experience using Outlook, ticketing systems, or workflow systems preferred
- Ability to manage multiple moving priorities in a fast-paced environment
- Comfortable working independently in a remote setting
