Role Description
Woodward & Co. Lawyers LLP is a leading national law firm that provides excellent legal services to Indigenous communities, governments, and businesses. The HR Assistant and Payroll position provides essential administrative and operational support to the People and Culture office with a primary focus on payroll coordination, employee data management, and day‑to‑day transactional processes.
This relief position covers a temporary absence. The role will be full‑time, in‑office Monday to Friday 8:00‑4:00 a.m., with a flexible hybrid arrangement that allows remote work provided it does not materially interfere with duties.
Essential Duties & Responsibilities- Assist the Director of People and Culture and the team with operations, projects, benefits and HR administration.
- Support recruitment and selection activities, including onboarding.
- Maintain employee file records and spreadsheets.
- Support correspondence, communication and website updates.
- Organise and track professional development training (internal/external).
- Provide administrative assistance: drafting letters, filing, SharePoint and HUB resources, submitting Articling Student LSBC/PLTC applications, term reports, compliance, bar calls and licensing for new lawyers.
- Maintain records of law society memberships, annual renewals, insurance payments and exemptions; manage inter‑jurisdictional tracking and compliance.
- Maintain payroll records, leave and overtime calculations, bonuses, allowances, benefit entitlements; verify and process salary increases, overtime payouts, RRSP records.
- Process and file Records of Employment within 72 hours of departure.
- Administer benefits: pension plans, leaves, bonuses, allowances, reimbursements; prepare T4 statements and other CRA documents.
- Provide information to employees on payroll matters, benefit plans and provisions.
- Collaborate with Finance on expense reimbursements, benefit invoices, and operational overhead tracking.
- Identify payroll discrepancies and work with the Director of People and Culture to resolve issues.
