We are seeking a highly organized, professional, and proactive Administrative Assistant to support our Home Office team. This position plays a critical role in keeping our organization running efficiently through administrative support, communication coordination, scheduling, document management, and day-to-day office operations.
Position SummaryThe Administrative Assistant serves as a key support resource for the Home Office team and leadership. This role requires exceptional organizational skills, attention to detail, professionalism, discretion, and the ability to manage multiple priorities in a fast-paced environment.
The ideal candidate is dependable, highly organized, enjoys solving problems, communicates effectively, and takes pride in ensuring details are handled accurately and efficiently.
Key Responsibilities Administrative Support- Provide administrative support to corporate leadership and Home Office departments.
- Manage calendars, meetings, and scheduling requests.
- Coordinate travel arrangements and itineraries when needed.
- Prepare, edit, and organize correspondence, reports, presentations, and company documents.
- Assist with meeting preparation, agendas, and note-taking.
- Help maintain an organized, professional, and efficient office environment.
- Order and manage office supplies and equipment.
- Assist with incoming mail, deliveries, and document distribution.
- Support filing, scanning, document retention, and record management processes.
- Coordinate office vendors and service providers as needed.
- Serve as a professional point of contact for internal and external communications.
- Assist with company-wide communications and announcements.
- Coordinate information and follow-up between departments.
- Help ensure projects, deadlines, and administrative tasks stay on track.
- Maintain accurate records and databases.
- Assist with data entry and reporting projects.
- Compile information from various departments for leadership review.
- Support administrative tracking and reporting initiatives.
- Assist with corporate initiatives, company events, meetings, and special projects.
- Support process improvement efforts and administrative efficiencies.
- Perform additional administrative duties as assigned.
- Strong organizational and time management skills.
- Excellent written and verbal communication abilities.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Ability to prioritize multiple tasks and meet deadlines.
- Strong attention to detail and accuracy.
- Professional demeanor and ability to maintain confidentiality.
- Reliable transportation and ability to work in-office Monday through Friday.
- Experience supporting multiple departments or executives.
- Experience with in hospitality, restaurant, retail, property management, or multi-unit operations environments.
- Experience with Google Workspace and project management platforms.
- Associate's or Bachelor's degree preferred but not required.
- Minimum 1 year of administrative, office support, executive assistant, or related experience.
